Executive Administrative Assistant, IT Turkey

The closing date for the position is 26 October 2012.

The position will provide executive administrative support for Eurasia Africa Group Chief Information Officer as well
as IT team when and if required.

JOB DESCRIPTION

- Makes travel arrangements: hotel, flight reservations and visa transactions

- Follow-up written and verbal communication

- Arranges meetings in-house or offsite

- Makes arrangements for visitors of our offices (ground transportation, meeting rooms and technical requirements coordination, visa letters, meeting arrangements with local staff, dinner or ground transportation arrangements)

- Prepares / follows up / files expense reports and purchasing orders.

- Open PR’s & PO’s in SAP system, communicate these to other locations and do the GR’s

REQUIREMENTS:


  • At least 4 years experience as personal / executive / department assistant

  • Good command of written and spoken English   

  • Strong multi-tasking ability

  • Proficiency in MS Outlook and MS Office Programs

  • Strong organisational skills

  • Effective communication skills

COMMUNICATION COMPLEXITIES:
There are several cultures, religion and languages in the region that requires an ability to create value based relationships and effectively work in multi-cultural teams. Cross functional and solid interdepartmental communications are required.
Good command of written and spoken English and Turkish is required.

ANALYSIS:
Work involves a variety of administrative tasks that require knowledge in a specific functional area.

JUDGMENT AND DECISION MAKING:
Performs with discretion and has sufficient judgement and knowledge of the business to act independently in administrative matters if required. Generally follows set procedures but may deviate from procedures and schedules when initiative taking is required.

Working Conditions:

This position requires strong daily follow-up and multi-tasking.
