POSITION: Program Associate, International Development
LOCATION: Headquarters, New York City, NY
 
PURPOSE:
The primary purpose of this position is to support, guide and oversee the program development, monitoring and reporting activities, as well as mission strategic development and exit/transition. The position requires significant program development as well as field office grant and donor management. It will be expected that the PM will travel to the field to gain firsthand knowledge of programs and issues and be a liaison with donors in the US and internationally, acting as a link between project ideas being generated in the field and representing those ideas to US and internationally based donors. The Program Associate will be responsible for grant management, as well as providing representation of assigned missions (country programs) at UMCOR’s NY headquarters and with external partners. Under the guidance of the Director, International Programs, the Program Associate will ensure that each assigned mission operates based on a sound humanitarian and development strategy and follows UMCOR’s standards of operations.
 
ESSENTIAL FUNCTIONS:
Responsibilities of this position include, but are not limited to:
 
Gifts in Kind/Material Aid
·         Works with the related management team members to ensure effective and efficient sourcing and distribution of all in-kind donations in support of UMCOR’s international work.
·         Researches opportunities and develops relationships with national third-party logistics firms and sourcing companies to support the in-kind supply chain for UMCOR.
·         Develops and maintains strong working relationships with logistics experts on staff at partner organizations to solicit their expertise in evaluation of current systems and development of long term strategies for continuous improvement.
·         Leads HQ logistics and coordination among donors, missions, partners, and freight forwarders for all in-kind program shipments and stays up-to-date on project status, obligations, and balances.
·         Coordinates all UMCOR international in-kind shipments with the UMCOR Relief Supply network, in-kind donors, and vendors, and negotiates gift-in-kind contributions.
·         Develops annual medical and material aid schedule and workplan and updates regularly to meet donor obligations and partner resources.
·         Ensures that all transport confirmations are sent to freight forwarding coordinator within one week of arrival of shipments.
·         Develops proposals to support UMCOR’s international in-kind shipments and coordinates with finance and field offices regarding contracts and dissemination of monies.
·         Serves as the primary control point for all external partners seeking UMCOR relief supply donations to benefit international development and disaster relief programming, in coordination with related management team members and the UMCOR Relief Supply network leadership.
·         Develops and maintains monitoring tools for all in-kind/material aid programming including design and dissemination of reporting templates to external partners receiving UMCOR relief supplies.
 
Knowledge Management
·         Primary support administrator for the UMCOR Grants Database related to all international development and internal/external grants under direct implementation by UMCOR. Coordinates with program leads and GBGM/UMCOR MIS accordingly.
·         Maintains and organizes data housed on UMCOR’s shared drive, especially all data files to be linked to the UMCOR Grants Database.
·         Maintains and enhances program and in-kind filing and database systems including the tracking of all donor and monthly reports and all donor and/or critical correspondence.
·         Assists in the compilation of program reports and completes all in-kind reports.
·         Attends inter-agency meetings for note-taking purposes (e.g., InterAction) and providing written reports on what transpired.
·         Administrative support provided to the Director, International Programs, including coordination of meetings and organization of presentations when necessary, including Crisis Management Team (CMT) meetings.
·         Provide general administrative support to the UMCOR International Development office as needs arise.
 
QUALIFICATIONS:
The ideal candidate will possess:
·         Bachelor’s degree;
·         Minimum of three years of related experience in the field of international development and relief work or equivalent education and work experience;  
·         Strong experience and knowledge of donor cultivation, gift-in-kind solicitation, project planning, outreach, research, and reporting;
·         Excellent written and oral communication skills, presentation skills, analytical, persuasion and mediation skills.
·         Excellent social, interpersonal skills and demonstrated ability to interact with culturally diverse staff, program and participants.
·         Ability to network and form partnerships with organizations and business entities outside, representing UMCOR to a broad range of current and potential partners/donors.
·         Demonstrates a sense of urgency, attention to detail and follow up.
·         Comfortable identifying potential targets, creating plans to engage the appropriate people at those organizations and closing the deal.
·         Computer literate with the ability to use word-processing, spreadsheet, database, email, web browser and project software.
·         Ability to manage multiple tasks and stakeholders while maintaining close attention to detail;
·         Ability to be self-directed with minimal supervision;
·         Ability to organize administrative details of proposal preparation and reporting to meet required deadlines;
·         Strong computer skills including formatting documents, developing and maintaining databases.
