Human Resources Coordinator
Job Description: Provide administrative, support to Human Resources Associate in functional areas including recruitment, employee relations, benefits administrative, HRIS, and training for Asia Pacific Regional Office (APRO). Responsible for execution of HR administrative processes and support.
Major Duties/Responsibilities:
  • Provide administrative support for recruitment of staff including post job announcement, initial screening of applications, coordinate interviews, checking reference, and hiring.
  • Ensure that all new-hires completed necessary documents and acknowledged FHI 360’s policies and procedures.
  • Ensures that Personnel files are completed and up-to-date.
  • Coordinate with other departments to arrange new-hire orientation provide necessary set up for new-hire.
  • Administer Time Sheet system in terms of updating System for APRO staff.
  • Coordinate with employees and managers in completing probationary assessment. Ensure that probationary assessment and annual performance assessment have been completed and submitted to HR department on time.
  • Organize and implement the Staff Development Program and carry out the trainings / workshops for APRO.
  • Administer staff health and life insurance and social security benefits.
  • Prepare documents related to visa and work permit for expatriate staff and their dependents.
  • Keep track of expatriate staff visa and work permit renewal schedule and ensure that visa and work permit are renewed before the expiration date.
  • Accompany expatriate staff to immigration and contact Department of Employment to renew work permit on expatriate behalf.
  • Update APRO organization chart and staff list on regular basis.
  • Prepare exit checklist to staff and ensure that the list is completed upon staff departure.
  • Perform other relevant duties as assigned.
Required Experience/Skills:      
  • Working knowledge of Human Resources Management
  • Ability to manage multiple tasks simultaneously with accuracy and on a timely basis
  • Good English written and oral communications skills
  • Strong knowledge of computer including MS Windows, Excel and Power Point
  • Able to work with cultural differences and understanding the ethical issues surrounding
MINIMUM QUALIFICATIONS:
  • 0-3 years of experience providing administrative support in an office setting.
  • Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint, Access) and HRIS
PREFERRED QUALIFICATIONS:
  • Bachelor’s Degree with an emphasis in business or human resources preferred
  • Prior experience working in a non-governmental organization (NGO)
