BACKGROUND


The 2012 IUCN World Conservation Congress will take place from 6 to 15 September 2012 in Jeju, Republic of Korea. It consists of two parts, the World Conservation Forum and the Members’ Assembly. During the Forum UCN Members, Commission members, staff and partners will discuss and showcase pressing environmental issues in more than 500 different workshops, roundtable discussions, training courses, posters, etc.

During the Members’ Assembly a series of motions will be adopted that are proposed to Congress by IUCN Members prior to Congress.

In order to fully engage IUCN Constituents and Congress participants in the preparation of the Congress, IUCN is offering the Congress participants a series of IT solutions to engage with both during and prior to Congress. All of these solutions are available in IUCN’s three official languages: English, French and Spanish.

The systems provided are the following:
• A registration system to sign up for the Congress (scheduled to go live in early 2012) through a customized system based on FileMaker Pro software
• A Call for Contributions system to submit proposals for events during the Forum (live since May 2011) on a SharePoint portal linked to a review system based on php/MySQL/html
• A web space for event organizers to further develop and promote their events (a total of 500 events are expected) and to hold e-discussions with the general public, managed via a SharePoint portal. This will include the uploading of presentations, reports, videos, etc.
• A system to virtually discuss and submit motions for adoption at the Members’ Assembly containing a workflow at the back end for the IUCN Secretariat to manage the motions (a total of 100-150 motions is expected), managed via a SharePoint portal.
• An online programme to view and search the sessions taking place at the Congress and to allow participants to develop personalized agendas based on php/MySQL/html
• A One-2-One appointment system to contact registered Congress participants and to set-up bilateral meetings with them based on php/MySQL/html
• Smartphone applications linking to the online programme and the One-2-One appointment system
• An Accreditation system for Members and observers to submit their credentials, which will allow them to exercise their voting and/or speaking rights at the Members’ Assembly via a SharePoint portal

A few additional IT systems will be developed by other providers and linked from the IUCN website: mainly booking sites for hotels, tours and exhibitions.
All above systems will be accessible through the IUCN website or the IUCN portals (all based on SharePoint).

Almost all systems are linked to the IUCN CRM (Customer Relationship Management) and ERP (Enterprise Resource Planning) systems as well as to a facility management module based on a FileMaker database that the IUCN Congress Unit uses to manage facilities (rooms, set-up, etc) at the venue.

The monthly gross salary offered for this position is USD 2.260.

SPECIFIC DUTIES AND RESPONSIBILITIES

The Congress IT Help Desk Officer would support both internal and external users of all systems, and help with debugging the systems as necessary. The detailed responsibilities of the Congress IT Help Desk Officer would be the following:

• To add users and manage their permissions and rights across various systems
• To answer user queries in English, Spanish, and ideally French
• To provide basic training to IUCN users
• To develop user guides and/or FAQ for the different systems
• To ensure that links with CRM, ERP and facility management system are working properly
• To debug the systems, if necessary
• To liaise with the team of the IUCN Information Systems group for all problems linking to the servers or other IUCN systems
• To attend the Congress from 6 to 15 September 2012 and provide help desk services onsite

REQUIREMENTS


• Excellent IT skills

• Fluent in English, Spanish and ideally French

• Excellent knowledge of SharePoint and customized programmes designed for workflows

• Knowledge of .NET and VBA programming

• Service-oriented and thorough

• Excellent customer service skills

• Able to prioritize and excellent time management skills

• Able to manage stress
