Washington DC Senior Administrative Assistant

We seek qualified candidates for the position of Senior Administrative Assistant in Washington DC.
Position Responsibilities:
Provide administrative support for a Department and assigned staff. Assist in the coordination of departmental budget and generate reports to aid in the financial management of the division or department. Perform additional duties as assigned.Systematically coordinate all incoming and outgoing correspondence to include reports, forms, faxes, and emails, to include troubleshooting for problems, back up documentation, and dissemination of information as appropriate. Provide support for staff calendars, appointment and meeting scheduling, etc. Draft correspondence and reports as requested. Serve as meeting coordinator for assigned meetings. Answer, and screen telephone calls; receive and deliver messages; and respond to queries of a non-scientific/non-policy nature. Develop and maintain filing systems. Coordinate travel arrangements for Director and assigned staff, overseeing travel authorizations and expense reports, reviewing trip reports for content and format, coordinate travel arrangements. Considerable skills in oral and written communication. Ability to communicate effectively and tactfully with all levels of staff, representatives of donors and collaborating agencies, individuals from diverse cultures, and the public. Ability to negotiate tactfully. Initiative, independent judgment, and discretion in judging and managing confidential matters, materials and sensitive issues. Use judgment to execute duties and responsibilities. Proficiency in secretarial skills to include grammar, spelling and proofreading. Proficiency in word processing, PowerPoint and Excel. Ability to type 50 correct words per minute. Considerable knowledge of office equipment, practices and procedures, and a willingness to increase knowledge and update skills as required.Ability to organize, coordinate and effectively process work assignments, while providing attention to detail.Initiate majority of tasks, specify and plan activities for task accomplishment and notify supervisor of variances.
Ability to manage multiple tasks simultaneously and set priorities. Ability to manage stressful and demanding workload. Ability to retrieve and obtain information from various sources, including the library. Knowledge of budget preparation and monitoring. Working knowledge, written and spoken, of French.
Minimum Requirements:
Education/Experience: BS/BA in Business Administration, or related field, and 3 - 5 years relevant experience in an administrative/executive secretarial capacity; or AA and 5 - 7 years relevant experience; or High School/GED and 7 - 9 years relevant experience; or an equivalent combination of education and experience.
