General information
The Finance and Management Information Section (FMIS) forms part of the Corporate Services Division (CSD), providing financial management and accounting services to the Secretariat. The section prepares budgets and final accounts for the four separate Commonwealth funds, manages payroll, payments and travel and subsistence for both full time staff and contracted experts, and provides financial information to Secretariat management and the governing bodies.
Job summary
The post holder is responsible for the smooth running of the department’s interaction with the other Divisions with regard to the settling balances of internal and external customers. The post holder is expected to support the Finance Officer – Accounts Payable and the Financial Accountant in the achievement of the department’s objectives and goals.
Task description
The post-holder will:
- Administer the invoice register;
- Create and maintain supplier information in the accounting system;
- Code general invoices;
- Input and process invoices and credit notes;
- Prepare payment proposals and effect multi-currency payments by electronic banking, telegraphic transfers and cheques;
- Manage aged creditors balances and reconcile suppliers statements
- Deal with and resolve internal and external customer queries;
- Prepare and post correction journals;
- File and archive payment related documents;
- Perform any other duties that may be required
Person Specification
Education
- 5 GCSEs (or equivalent) with English and Maths passes.
- Book keeping or accountancy qualification desirable.
Experience
- At least 2 years’ book keeping or accounts payable experience.
- Good IT skills, experienced user of Microsoft Office products
- Experience of computerised accounting and electronic banking
