Objectives

The travel team is responsible for organizing Bank official travel in the context of missions, recruitment and assumption of duty or termination of service. This also includes other travel support services such as hotel services, lodged and travel cards. The incumbent of this post will be primarily responsible for the implementation of SAP Travel in the Bank’s Field Offices and supervision of travel support and IT services which enhance the efficiency of the Bank’s travel program. The role will also include negotiating sound partnership agreements with service providers with regards to travel, hotels, restaurants, travel agencies and lodged and travel card service companies. The Senior Travel Administrator will also prepare training programs, policy documents and related business process procedures manuals for services under his/her supervision.

Duties and responsibilities

Under the general guidance of the Division Manager CGSP.3, the Senior Travel Administrator will undertake the following assignments:

  • Supervise the activities of and lead in proposing policies and procedures for the issuance and use of Bank Corporate Travel cards.
  • Monitor the use of travel cards to ensure compliance with the approved policies and procedures.
  • Ensure a smooth and functional integration of the travel card functions with SAP travel expense.
  • Lead the travel team in the preparation for the selection of a lodged card service provider and supervise their activities.
  • Lead the team in negotiations with hotels and restaurants used by the Bank for mission travel and official events both in the Head Quarters, Temporary Relocation Agency and other centers.
  • Supervise the activities of caterers selected to provide services to the Bank.
  • Lead and supervise all SAP travel customizations in respect of new/additional services, upgrades, tests etc., including the preparation of technical specifications required for ABAP programming.
  • Work with the Bank’s IT team and other external service providers to define parameters and to customize all reports required by management for travel services.
  • Work with other team members to define and propose Key Performance Indicators for the monitoring of performance for all travel services.
  • Work with the Field Offices’ staff to ensure that they are well trained on SAP Travel and are effectively utilizing it for all missions.
  • Prepare announcements to communicate important information and any changes with respect to SAP Travel, SBT, Travel and lodged Cards.
  • Ensure invoice processing and reconciliation with respect to invoices received from service providers and amounts spent by staff on Travel Cards.
  • In the absence of the Head of Travel section, the incumbent will be responsible for the supervision of all travel activities related to mission travel.
  • Prepare and make presentations on travel activities as the need arises.
  • Manage the allocation of work programs and performance of staff under his/her supervision.

Selection Criteria

  • A minimum of a Master’s Degree or its university equivalent.
  • A minimum of five (5) years of relevant experience working in travel management/administration.
  • Competency in SAP Travel and other IT tools related to travel.
  • Strong negotiation skills to form partnerships with internal and external stakeholders.
  • Experience of designing, developing and implementing SAP Travel training programs.
  • Strong client orientation and the ability to build and manage relationships at all levels.
  • Ability to work independently with minimum supervision.
  • Demonstrated capacity to work effectively in a fast-paced, demanding professional environment, and to deal with multiple tasks and deadlines, working independently and with minimal supervision.
  • Competence in the use of standard MS Office software (Word, Excel, PowerPoint, Project).
  • Excellent spoken and written English or French, and a working knowledge of the other language.
