Program Assistant, GHPN in Washington, DC.

Position Description:
 
The Program Assistant will support multiple projects administratively and also provide some technical inputs as requested by the project director. The Program Assistant will also support business development activities and provide senior management with administrative support.  As an integral support member of the project team, the Program Assistant will facilitate smooth day-to-day operations of the various projects. Under the direction of the Project Directors, the Program Assistant will ensure administrative and operational efficiency for project success.
 
Essential Job Functions:
 
  • Coordinate recruitment of consultants for country programs to include facilitating the processing of consultant agreements and personal service contracts through the FHI 360 Contracts Department
  • In consultation with the project's Finance and Operations Manager, ensure that program operations and procurement adhere to and comply with all FHI 360 and USAID policies and regulations
  • Serve as a primary point of contact between specified field programs and Washington headquarters to support program management.
  • Process and track staff and consultant fee payments, check requests, travel advances, expense reports, wire transfers and purchase orders for the projects assigned.
  • Serve as liaison between the project and other FHI 360 Departments such as Accounting and Billing.
  • Assist in the procurement of equipment, goods and services. This task will include contacting vendors to obtain bids, preparing comparison matrices and selection memos/cost justifications, dealing with shipping/delivery as needed, specifying equipment requirements, etc. It also will include coordinating the approval/contracting process by contacting vendors to obtain bids, shipping and delivery information/arrangement, description of equipment specification, etc. if necessary.
  • Facilitate day-to-day activities such as meetings, conferences, special events and appointments,  reserving rooms, making catering/clean  up arrangements,  facilitating conference calls and setting up presentations;
  • Contribute to technical review of work deliverables, research activities and communications products as requested by the project director.
  • Provide high-level word processing and editing support, including formatting complex documents.
 
 
Minimum Requirements:
 
  • Bachelor’s in one of the following or related fields: Behavior Change Communications, Development Studies, Evaluation Research, Health Ed & Behavioral Science, International Development and International Health required or equivalent combination of education and work experience. Masters preferred.
  • One (1) years relevant experience in public health/nonprofit environment or equivalent combination of education and experience;
  • Experience in backstopping USAID programs helpful;
  • Experience in fund raising and development activities such as contributing to components of proposal such as staffing or corporate capabilities helpful,
  • Experience with research projects and issue related to field research activities and data handling desirable.
  •  Interest in public health and/or behavior change communication preferred

  • Excellent communications skills, including strong writing/editing facility.
  • Strong computer skills in all MS Office applications including Word, Excel , Power point and Access ( preferred); Ability to format and edit complex documents in Word with ease.
  • Aptitude for learning computer applications;
  • Proficiency with business machines, including scanner, fax, printer, photocopier and others;
  • Strong cross-cultural and interpersonal skills; ability to interact effectively with a variety of people and organizations;
  •  Strong sense of personal responsibility towards excellence in work.
