SPCS Assistant Director of Academic Programs

Stanford Pre-Collegiate Studies (SPCS) fosters the development of tomorrow's undergraduates through programs that enrich the educational experience of pre-college students. Inaugurated by the Provost in 2012 under the banner of Continuing Studies, SPCS serves as a home for Stanford's pre-collegiate efforts, assisting individual programs in achieving their objectives while promoting common goals across Stanford University.

The Academic Programs comprise a core component of SPCS and include a diverse array of programs, both residential and non-residential, that center around providing students with opportunities for intensive-study in a single subject, not for credit or grade, and covering topics not typically available in the standard educational setting. These include residential summer programs such as the EPGY Summer Institutes (the largest of the SPCS Academic Programs), the Stanford University Mathematics Camp (SUMaC), and the Stanford Humanities Institute, as well as non-residential year-around programs such as the Stanford Math Circle. Residential summer programs comprise the bulk of the Academic Programs activity with over 1500 high school student expected to spend an average of three weeks participating in the range of SPCS residential summer programs in 2013.

These programs serve students who are talented and motivated and intellectually curious, and are eager for academically challenging and engaging endeavors. The instructors for the Academic Programs are drawn from the Stanford academic community and include advanced graduate students, post-doctoral scholars, and occasionally Stanford faculty, who are experts in their fields and enthusiastic about teaching their subject and contributing to the education of these students. As a result, SPCS Academic Programs provide students with an educational experience unmatched in intellectual vitality and student engagement.

Responsibilities:

Reporting to the Director of Academic Programs, the Assistant Director of Academic Programs works closely with the Director, taking a lead role on developing and executing the residential life components of the various summer programs. Although the programs emphasize academic themes, there is substantial importance on providing a safe environment and responsible supervision of the participants. In addition to intensive courses students engage in social, recreational and cultural programing that is part of the residential program, under the supervision of the Assistant Director. This position helps to ensure a sense of community and security among staff and participants, and works toward instituting best practices of health, safety, and emergency preparedness. 

Responsibilities for this position are on a seasonal cycle. Fall is an especially busy time for new program development. During this period, the Assistant Director helps planning and preparing for the launch of the following summer’s programs, which begins with reviewing the surveys and data analysis from the previous summer, and applying that information to help create, update, and revise documents, materials and training plans for the coming summer. The Assistant Director will work with Stanford offices to make sure that the programs’ codes of conduct, emergency preparedness plans, training procedures, and other relevant practices are up-to-date and within university policies and guidelines. 

Fall is also a time for recruitment and marketing. For the marketing effort, the Assistant Director may be asked to present to schools and represent the program at conferences, and generally serve as an information source to students, parents, teachers, counselors, and school administrators. On the recruitment side, the Assistant Director may be attending job fairs and working with SPCS marketing and communications staff on preparing recruitment materials. 

Additionally, the Assistant Director has responsibility for putting together summer co-curricular programming including a guest lecture series, panel discussions, forums and workshops that are not directly part of the academic courses that take place during the summer. Fall is a time for recruiting and planning for these special events. 

Through winter and early spring, the Assistant Director plays a lead role in the hiring process for residential positions. There are over 120 Summer Institutes residential positions to fill each summer, requiring initial screening and then over 200 in-person interviews as part of a group and individual interview process. The SPCS Academic Programs rely on summer employees who contribute strongly to the special academic experience these programs provide, and careful selection of staff is one of the primary keys to success for these programs. The interview sessions serve both to assess the quality of the applicants, but also to draw in top talent and recruit for these programs. 

The Assistant Director is also part of the admissions team which is a primary activity during the winter and spring. The Assistant Director will share in the review of applications and contribute to committee admissions decisions. 

In the late spring, the Assistant Director begins a series of trainings for the residential staff and concludes program preparations. The Assistant Director plays a lead role in training the residential team, and this is key to ensuring a safe environment and a successful experience not only for the participants, but for the staff as well. Program preparation includes working with the administrative staff to make sure that all needed venues, supplies and materials are organized and secured for the start of the program. 

During the summer the Assistant Director assists in the high-level operation of the residential component, which includes primary responsibility for supervising the residential staff and addressing the range of critical needs that occur in the residential program, helping the Director to handle incidents that require higher-level intervention. This includes leading the investigation of staff and student disciplinary situations, and working with the Director to take appropriate disciplinary action within the guidelines and policies of the programs and of the University.

The Assistant Director serves as a main point of contact with parents for medical situations and other serious incidents. The Assistant Director will contribute to the public face of the programs, with a presence during major activities such as arrival and departure days, and major program events, as well as routine visits to the residences and dining halls during the program. 

Following the conclusion of the summer programs, the Assistant Director shares in the responsibility of collecting reports and evaluations from staff, and working with the Director and Associate Director to write a comprehensive report evaluating all aspects of the programs. 

This position is a strong contributor to the team that includes the Director and Associate Director, and will be prepared to support and fill-in for responsibilities of these positions in the overall high operation of the summer programs.

Qualifications:

A Bachelor's degree is required. 

SPCS seeks a dynamic leader for the Assistant Director position who will take on the role with energy, enthusiasm, and commitment to the success of the Academic Programs. 

The Assistant Director needs to have background and experience in residential education and familiarity working in a university environment. Strong preference for candidates who have five or more years of experience either in residential life positions at a university or boarding school, or working in high-level administrative positions with similar residential academic summer programs. Because this position interviews, hires and supervises undergraduates for residential counselor positions, experience working with or supervising undergraduates, possibly experience teaching or advising undergraduates, is desired. 

This position requires strong leadership skills, so past experience in leadership and supervisory roles is required. This may include direct experience managing others in a work environment, or being in a lead position with an organization. Experience in a comparable-level university administrative position, or experience with an academic youth camp, desired.

Past experience working with high school students, possibly in a teaching, counseling, or coaching role, is strongly desired. 

This position has a demanding scheduled from mid-June through mid-August and will require long hours as well as some evening and weekend work during this period, as well as on-call responsibilities and the ability to respond quickly to unexpected incidents during the program. 

Strong oral and written communication skills required. The position also requires the ability to give presentations to large groups of parents and students, and interact with the parent community, and the university community, with a high degree of professionalism.
