Operations Manager The Washington Institute for Near East Policy


The Washington Institute for Near East Policy seeks to hire an Operations Manager.  The Operations Manager reports to the Managing Director and is responsible for the Institute’s efficient and effective administrative functioning.  He or she will work closely with the Chief Financial Officer, Director of Research, Director of Communications, and Director of Development to ensure coordination of administrative activities.  This position offers an opportunity for future growth and will give the right candidate a window into the functioning of a high-profile nonprofit organization.
Responsibilities
Management
  • Develop and manage internal processes, controls, and reporting requirements.
  • Monitor, measure and report on operational issues and actively seek to identify and implement improvements.
  • Develop and manage operational administrative policies.
  • Supervise receptionist and oversee administrative duties of research assistants and interns.
  • Coordinate internal staff events (eg Institute-wide meetings, annual picnic and holiday party, etc.).
  • Ensure emergency preparedness for the Institute.
Physical Infrastructure
  • Liaise with building management for housekeeping, maintenance, and security needs.
  • Manage technology vendor relationships and coordinate with staff for technology issues and needs.
  • Maintain orderly state throughout the office.
  • Serve as staff point of contact for all hardware, furniture, and related needs.
  • Coordinate office services and supplies.
Fiscal
  • Support operations to meet budget and other financial goals, including by exercising oversight of administrative expenditures
  • Manage vendor relations and negotiate contracts; periodically review vendor relationships to ensure cost efficiencies.
  • Assist with annual audit preparation.
Personnel
  • Work with Institute’s third-party human resources consultant on matters relating to personnel and benefits
  • Manage benefits vendors, such as insurance providers
  • Conduct the orientation for and coordinate the integration of new staff; ensure proper logistical arrangements for visiting fellows
Background Sought
A bachelor’s degree is required.  An undergraduate or graduate education in accounting or a related discipline and a demonstrated interest in business is preferred. The strongest candidates will have at least 3 years of relevant work experience and a proven record of managing organizational processes and completing tasks in a timely, efficient and effective manner. Excellent attention to detail, advanced knowledge of Excel, and strong communication skills are necessary. Experience in the national security field is not required.
