SECURITIES - US SHARES SALES - GROUP ADMIN ASSISTANT BOSTON

This position works as part of a team of 3 Assistants in an exceptionally busy US Share Sales group based in Boston.  As part of the Securities / Equities division, the group is involved in numerous high touch marketing, client relationship management and sales activities. 

The Assistant will provide 1:1 support to the Senior MD based in Boston who co-heads the Group with a NYC based Senior MD.  It is anticipated that the Assistant will spend 80% of their role providing 1:1 support, and the other 20% offering wider group support. 

The successful Assistant to the Co-Head MUST be able to demonstrate: 
* an understanding of fast-paced sales and marketing environments, and an appreciation for the 'BIG picture' 
* an ability to MULTI-TASK and manage often conflicting and changing schedules 
* an ability to manage an extremely busy Senior exec and provide proactive support 
* outstanding communication skills 
* experience in calendar scheduling, travel arrangements (domestic & international), and expenses 
* excellent interpersonal skills; able to deal with Senior executives, international visitors and work as part of a fast paced and vibrant team. 

Further responsibilities: 
• Expense Policy Management, negotiate contracts for events. 
• Managing the Charitable Budget for the group.   
• Coordinate complex, senior-level internal/ external meetings and conference calls.   
• Handle a high volume of phones calls, supporting internal and external managers or clients.   
• Respond and follows up on client requests.   
• Prepare and distribute divisional correspondence, memos, letters, reports or other documents as requested. 
• Manages monthly invoice and arrange for payment. 

This is a vital position within a strong team of Assistants.  It is foreseen that each Assistant will be cross-trained across the entire Group and should be able to cover all aspects of the Administration.

• Prefer 4+ years of experience.
