IMS Procurement Associate, Information Management Services

| Position Summary: | The IMS Procurement Associate will work closely with the IMS Procurement & Budget Director and the IMS Inventory Associate to support FHI360's domestic and international staff in the areas of computer-related procurement and inventory control. This position requires an individual that will pay attention to detail; has strong communication and administrative skills and enjoys supporting others. |
| Essential Job Functions: | The IMS Procurement Associate’s responsibilities include but are not limited to the following: • Assess and provide recommendations to FHI360 staff regarding their computer equipment hardware and software needs. • Evaluate and respond to helpdesk requests: provide information; quotations; computer procurement instructions and prepare tickets for helpdesk technicians regarding equipment replacement, deployment, retrieval and installation. • Verify project signature authority and accuracy of paperwork submission; prepare and process vendor purchase orders; receive and verify delivery and invoice accuracy; prepare invoice packets for approval/payment and balance outstanding vendor statements. • Retrieve and maintain computer software product license keys and agreements. • Scans serial numbers and inventory labels; assign computer assets and process equipment location and ownership transfers. • Consult with field staff /vendors to identify possible overseas service centers and alternative shipping for equipment repairs, when service centers are not available. • Secure staff police reports for lost/stolen equipment. • Collaborate with project/IMS staff to isolate overseas procurement providers and maintain collected information in a centralized location for future use by IMS and project staff. • Perform currency conversions and wire transfers for overseas procurements, when necessary. • Provide support to IMS team as needed. | Education: | Bachelors in one of the following or related fields: Accounting or Business or Business Administration or Computer Information Systems or Computer Science or Computing & Management or Data Processing or Information Services or Information Systems or Technical or Other Job-related Field required or equivalent combination of education and work experience. |
| Experience: | 4 year(s) of relevant experience required Specific Knowledge Requirements: Working knowledge of MS Office (particularly Access, Excel and Word). Understanding of data base concepts and some experience with a report writer. |
| Special Requirements: | This job will require a criminal background check. |
| Skills: | Must be able to use/perform the following: WordPerfect / MS Word, Lotus / Excel, Database, Typing, Data Entry, Filing Good research, communication and administrative skills. Willingness to learn, explore and develop new ideas. Ability to complete assignments on time. Ability to work as part of a team or independently with minimal supervision. Strong attention to detail. |
