Job Description

The EMBL Administration is responsible for providing administrative services to 1,500 members of personnel from over 70 nations based at the headquarters in Heidelberg (Germany) as well as those at its outstations in Grenoble (France), Hamburg (Germany), Hinxton (UK) and Monterotondo (Italy). The official languages of EMBL are English, French and German.
The Project Officer, reports directly to the Administrative Director, and will be involved in a broad spectrum of projects with the aim to implement the Strategic Objectives of the Administration. He/she will work either independently or closely with the Senior Project Officer, the Administrative Director’s team as well as colleagues elsewhere in EMBL.
The task will include but not be limited to:
- Preparing business cases;
- Driving and supporting the reengineering exercises for major admin work processes;
- Developing and harmonizing administrative services across sites;
- Developing reporting tools;
- Designing, implementing and maintaining effective communication platforms within administration and between administrative and scientific staff;
- Enhancing of Administration appearance on both internet and intranet, monitoring and coordination of web contents.
Most importantly the Project Officer will be involved in the active management of and will have a substantial everyday contribution in ongoing operations of the Administrative Director’s office.
Qualifications and Experience
Applicants should have a university degree in business administration or related area. They should have at least 3 years work experience in project management and/or be able to demonstrate how their previous roles have cultivated the skills necessary for the successful occupation of the advertised post. Numerical and analytical skills of a high level as well as the ability to process financial data, supported by solid training in relevant fields, are essential.
The job further requires an ability to work to tight deadlines as well as excellent communication and interpersonal skills. The ideal candidate should be able to demonstrate ability to work independently, take initiative, liaise with a vast spectrum of stakeholders and be a successful team-player in an international environment.
Experience in a comparable international organisation and/or scientific environment would be an advantage, as would work experience with SAP modules. Excellent command of English and fluency in French or German is essential. Good knowledge in the third official language would be an asset.
