Regional Internal Communications Specialist

The post is on local contract (without an international benefits package), based in Dakar and working under Senegalese labour law. Possible location in one of Plan’s Country offices in the West Africa Region is negotiable.

To support Plan’s work in the region, we are looking for a Regional Internal Communications Specialist to contribute to the development and promotion of a strong internal communications culture in Plan regionally and globally, to support change management processes through efficient communication, and to facilitate communication between different parts of the organization including Country Offices, Regional Offices, National Organisations and International Headquarters.

About the job role:

Typical responsibilities: • Identify, write and edit stories for internal audiences and platforms using a range of communication channels and platforms • Manage emergency alerts to the Alert Group • Produce off the shelf communication materials for internal and external audiences • Supports the regional and global management and change processes through facilitating efficient communication to staff in the region, • Support the production of regional publications, events and initiatives • Ensure consistent and correct use of corporate identity and branding materials in the Region • Be responsible for a monthly internal newsletter to communicate our activity in the region and share success and learning • Support the formulation, implementation and monitoring of internal communication plans in the region • Coordinate annual regional awards and accolades

Criteria for success: • At least 8 stories per month are posted on intranet (PlaNet) and published through Plan internal communications such as News & Views; • Country situation Reports are communicated within 24 hours to Plan’s Alert Group • Communication support materials on emergencies are produced (such as maps, slide shows); • a regional information kit comprising print and image materials on WARO is available and updated regularly; • an induction package for new staff is available and regularly updated; • a Plan WARO well written monthly team briefing is produced and feedback to Plan’s global and regional team briefing are consolidated, reported upwards and followed up by management and in subsequent team briefings; • regional office management is provided with advice on internal communications including strategies to improve employee engagement, team briefing content and induction processes; • regional network leads are being supported to develop strategies on how to best communicate and share knowledge within and from their networks; • key information on new policies, strategies, management decisions, organizational changes are communicated to staff effectively by crafting compelling memos, Q&As, visual aids and other support; • Content of publications of the regional program team are reviewed, edited and proofread; • web publication processes are managed efficiently and with quality results • publications are effectively disseminated to internal audiences and external dissemination plans supported • media events and initiatives are supported as needed and efficiently communicated to internal audiences • all regional publications are in line with global image standards • the use of global image by countries are regularly audited • advice to countries on the use of global image is being provided • standard publication formats following global image guidelines are being made available to countries • a monthly internal newsletter is produced and disseminated to communicate Plan’s activity in the region and share success and learning • The regional office has developed, implemented and monitored an internal communications plan • countries are being supported with the development of internal communication plans and their progress is being monitored at regional level • WARO’s participation in the global awards system is efficient • an engaging regional awards system is functional and aligned to the global awards system.

About you:

Knowledge, Skills, and Experience Required to Achieve Role’s Objectives:

Essential Skills and competencies  Degree in Communication/Journalism, Public Relations or equivalent  Excellent writing, editing and reviewing skills  fluent in English and French  Proven skills in event management and production of internal communications materials, ideally in the development sector.

Desirable skills and competencies  At least three years working as internal communications, press and PR department of a voluntary sector organization (in the development sector would be particularly advantageous),  Substantial experience in communications and public relations  Good skills in creating compelling visual materials for online and print use  Strong planning and prioritization skills  Able to make judgments and execute work autonomously  Ability to deliver to tight deadlines and budgets  Ability to understand different cultural contexts and marketing / PR realities.

Languages • Fluency in both spoken and written English and French; knowledge of Portuguese would also be an advantage
