Administrative Assistant OGP - International Association of Oil & Gas Producers

The International Association of Oil & Gas producers (OGP) encompasses most of the world’s leading publicly-traded, private and state-owned oil & gas companies, oil & gas associations and major upstream service companies. OGP members produce more than half the world’s oil and about one third of its gas.

An essential part of OGP’s mission is to represent the interests of the upstream industry on the international level with regulators and legislators. From the office in Brussels, OGP provides an essential conduit for advocacy and debate between the upstream industry and the European Union. Additionally, OGP promotes awareness of Corporate Responsibility issues within the industry and among stakeholders.

The Association is seeking to recruit a full-time Administrative Assistant.

Key tasks:
As part of a team reporting to the Director EU Affairs:

  • Assist, through the use of the internet and other media, the staff with the provision of up-to-date information on new EU policy and legislative initiatives with potential relevance to oil and gas exploration and production, and the progress and development of ongoing EU legislative proposals relevant to the industry
  • Research information on other ancillary issues and purchasing publications via the internet
  • Make information available to all staff on a shared network drive and directly by e-mail for news deemed of high interest
  • Optimise continually the user-friendliness of the distribution of the information
  • Personal assistant to Director EU Affairs and one EU Affairs Manager
  • Attend, when necessary, conferences and parliamentary sessions to gather information
  • Maintain databases, library and files
  • Keep internal website up-to-date with documents and other information
  • Schedule and organise meetings and travel
  • Assist members and other stakeholders with enquiries, documentation and other information
  • Provide other secretarial and administrative assistance, including e-mail and telephone management in the absence of staff and undertake some duties of the Office Administrator in her absence

Qualifications and skills:

  • Secondary education and additional qualifications
  • A minimum of 3 years’ work experience in an office environment
  • Full proficiency in computer software usage (MSOffice applications, Internet)
  • Good communication skills with excellent command of English and medium-level French (other EU languages an asset)
  • Ability to cope with a considerable number of very different tasks, reporting to two members of staff
  • A team player with good organisational and communication skills
  • At the same time, ability to work independently, without supervision
  • Ability to develop and follow thorough routine, and an eye for detail
  • Secretarial skills
  • A committed and mature attitude
  • Foresight, business sense, initiative
