Objectives

The occupant of this position provides support to legal counsel in the Private Sector Operations Division in the review, preparation, drafting and filing (both electronic and physical) of a variety of standard and non-standard legal documents, which may be in either of the Bank’s working languages. The occupant will also assist counsel with basic legal research, and performing other legal and administrative tasks to support counsel in the performance of their functions.

Duties and responsibilities

The level of responsibility associated with the position as Legal Documentation Assistant requires the job holder to work independently, and with a high degree of diplomacy and sensitivity for confidential issues. The nature of the work may require occasional overtime work and availability after normal working hours. The job holder’s main duties and responsibilities will include but are not limited to:

  • Retrieving documents in hard copy and electronic forms, and the relevant Bank policies, as required by the Division Managers and Counsel for their assignments, and organizing reference material for easy access ;
  • Assisting the Division Manager and counsel to finalize loan agreements and other legal documents, including proofreading and formatting of such documents ;
  • Assisting in the signing of loan agreements and other legal documents, including liaising with authorized signatories in other departments of the Bank ;
  • Assisting Counsel with basic legal research ;
  • Directing any client enquiries to the appropriate counsel ;
  • Assist in drafting standard legal documents using document templates, including, for example, requests for proposals, engagement letters, etc., and updating such templates from time to time as directed ;
  • Assist in drafting reports on activities of the Division and individual Counsel
  • Assist in summarizing legal documents;
  • Assist in translating legal documents from English into French and vice versa; and
  • Performing other legal and administrative tasks to support Counsel in the performance of their functions.

This Position Does not Attract International Terms and Conditions
(The incumbent of the position will be considered as local staff and will therefore not have international status)

Selection Criteria

  • A minimum of Bachelor’s Degree in law or an equivalent degree in related discipline;
  • Preferably a minimum of Five (5) years of progressively relevant and practical experience including two (2) years in a legal professional environment;
  • Good research skills and competence in the use of research materials such as Lexisnexis, Westlaw…etc
  • Strong customer service skills, good organizational skills, ability to multitask, attention to details and ability to work with a diverse workforce;
  • Discretion and ability to maintain a high degree of confidentiality;
  • Excellent written and verbal communication skills in French and/or in English;
  • Good typing skills are highly desirable with excellent levels of initiative, enthusiasm, team spirit, and organizational and interpersonal skills;
  • Competence in the use of the Bank’s standard software (SAP, Excel, Access and Power Point) including expert competence in Microsoft Word.
