Salary Information:  The salary range is $58,350 to $91,173 per annum (Managerial, Phase 2).  The starting salary will be commensurate with education and experience.
Primary Purpose: Provides the administrative planning, coordinating, and directing of activities in the college for academic affairs, student affairs, and admissions and is one of the key administrative consultants on special projects pertaining to academic regulations, curriculum matters and implementation.  Supervises support staff in the Office of Student Services and the Academic Support Group
Nature of Work: Reporting to the Associate Dean, this position provides formulation and implementation of annual and long-term plans to accomplish established goals related to undergraduate affairs, student services, and admissions; strategic academic and student affairs support, including administrative director for admissions.  This position manages change requests and reporting needs for college administrative projects and critically reviews admissions and student services objectives and potential areas of difficulty for the purpose of identifying areas for recommended changes.  The Director manages admissions policy revisions as approved by Council and College Committees, manages the admissions quota, reviews all eligible applicant files, provides communication to applicants regarding admissions decisions based on non-competitive averages, and considers and responds to appeals.  This position provides guidance and direction of support staff in the Office of Student Services and the Academic Support Unit, manages scholarships and awards in the college, manages the timetable, schedule, and Class Build processes and is a key member on various college and university committees and liaises with other colleges, administrative units, and external contacts and agencies.
Accountabilities:
  • Coordinates all college-related processes and activities for students and manages the entire range of services in the Office of Student Services and Academic Support Services. Manages sessions and collaborates with the student body for college and university sponsored events; conducts the research, development, and implementation of recruitment activities and admissions functions; interacts and builds collaborative relationships with a broad range of personnel within the college, other college and administrative units, senior administrators, and other external stakeholders.
  • Responsibility for the formulation of annual and long-term plans to accomplish college academic goals.
  • Advises on the day-to-day management, leadership and implementation of policies and processes to meet the college’s and university’s objectives.
  • Provides counsel to the Dean, the Associate Dean, the Assistant Dean, the chairs of various committees, faculty, and staff as it pertains to interpretation of university policies, procedures, and business practices.
  • Coordinates and edits various publications such as the College’s academic section of the University calendar, the Awards Bulletin, the admissions applicant brochure, specific sections of the college website for undergraduate affairs and admissions, and DMD program entries in external publications.
  • Verifies College statistics and completes various surveys related to its program, faculty, and enrolment.
  • Key college contact for the development of the timetable and academic schedule.
  • Manages and participates in admissions standards, policies, and procedures.
  • Provides academic counseling to potential applicants; in-person recruitment presentations for on-campus and off-campus events.
  • Key consultant on various admissions related sub-committees and provides research and reporting services.
  • Oversees the continuing development and testing of the college’s admissions module on SiRIUS and other special projects as assigned.
  • Organizes and participates in the administration of annual admission interviews.
  • Oversees and ensures the integrity of student records and dissemination of information in accordance with Freedom of Information and the Right to Privacy Act.
  • Provides student counseling and communication with the student body, which includes but is not limited to, scholarships, award opportunities, university/college requirements, and personal/confidential counseling matters.
Qualifications
Education:  A university degree is required
Experience: A minimum of four to five years of administrative experience, including management/supervisory experience, in a university setting is required.
Skills Demonstrated ability to evaluate applications for admission at a professional level involving judgments based on complex criteria; knowledge of the Canadian and International educational systems and professional experience in registrarial, admissions, and student services; demonstrated supervisory and team building skills to develop an effective service-oriented team; ability to coordinate, manage and direct a diverse group of staff; ability to communicate and deal effectively with all levels of staff, students, faculty and the general public; high level of proficiency in Microsoft Word and Excel applications; a self-starter; ability to manage many tasks simultaneously with attention to detail; must have expertise for in-house support with Class Build, Registration, and Admission modules in the Banner student information system, SiRIUS.
