Job Summary

​Through the expertise of professional operating throughout the world, Cardno's Emerging Markets Division work in partnership with developing countries to investigate the causes of poverty and focus on improving the physical, economic and social infrastructure that sustains communities. For more than a decade the Emerging Markets Division has continuously managed development projects in a diverse range of sectors including law and justice, education, agriculture, governance and economic development.
Within the Social Infrastructure Business Unit we have a position available for an a highly organised and efficient Administrator with exceptional interpersonal skills as well as intermediate level skills in MS Office and Desktop Publishing. Working closely with remote project teams, this position will be responsible for providing administration services in relation to all aspects of the mobilisation of consultants and subcontractors to projects as well as other project administration duties.

Key Responsibilities

Key Responsibilities:
  • ​​Provide high level word processing and administrative support to marketing, bids and projects, regional staff and manager.
  • Monitor and disseminate relevant electronic and paper based communications within head office and with overseas projects.
  • Oversee the filing of project, individual and marketing information using in house system.
  • Arrange authorisation of funds requests.
  • Process documentation and liaise with Financial Support Services in the preparation of invoices to clients.
  • Check and process claims for payments against contracts.
  • Process and maintain accurate records for all medical and travel insurance claims for overseas staff.
  • To process project and corporate staff expense claims.
  • Maintain annual leave and professional development records for long term consultants on overseas assignments.
  • Track and report on project/personnel movements, status of accommodation (rental leases) where premises leased by Cardno.
  • Maintain Report bibliography or databases, as applicable.
  • Photocopying, binding, and word processing of correspondence, reports and other documents accurately and efficiently.
  • Other project management responsibilities as directed.
It is expected the successful candidate will be able to demonstrate the following selection criteria:
  • Intermediate and Advanced skills in Microsoft Office Suite
  • Intermediate skills in Desk Top Publishing
  • Typing speed – minimum 70-80 words per minute
  • Excellent organisation and time management skills
  • High level of interpersonal skills
  • Strong attention to detail
  • Reliable and trustworthy nature when dealing with confidential issues and information
  • Willingness to take on a variety of tasks that may be required to ensure efficient operation of the business units
  • Ability to work as part of a remote administration team as well as work autonomously
  • Ability to use initiative and make decisions when completing tasks required, ensuring key roles are completed within required time frames and when asking for more work
  • Ability to travel as required to various international and domestic locations
Experience in a senior administrative role in an international setting, or experience in Human Resources or Government administration would be advantageous but not essential.
