Internship in Communications & Events Coordination


1. Job Description:
Under the supervision of the Communications & Events Manager and the Head of UM Campus Brussels, the main tasks of the intern will be as follows:  
Communications:
  • Provide support for research and education announcements; 
  • Assist the Communications & Events Manager with internal and external communication channels (digital newsletter, Faculty information screens, website, social media, etc.) ensuring content is relevant and updated in a timely manner;
  • Ensure that communication by each channel is measured & effective; 
  • Assist in editing, reviewing and/or writing official marketing publications in accordance with the Maastricht University Style Guide; 
  • Disseminate research knowledge products; 
  • Produce detailed proposals for events;
  • Enhance the network and connect with the target audience of the Campus; 
  • Occasionally represent the Campus at events and meetings. 
Events coordination:  
  • Liaise with UM Staff members and external parties to ascertain the requirements for their event; 
  • Disseminate information to all parties involved in the event (organisers, participants, speakers and partners); 
  • Coordinate and monitor online registration procedures for events taking place at the Campus; 
  • Make logistical arrangements with caterers, facilities (including setting up of the rooms), accommodation providers, etc.; 
  • Liaise with Communications & Events Manager to promote events; 
  • Handle client queries and troubleshoot to ensure that everything runs smoothly; 
  • Provide on-site assistance & hands-on support to organisers who make use of the UM Campus Brussels premises; 
The intern will also be encouraged to design his/her own project within the UM Campus Brussels policy, which will be supported by the UM Campus Brussels infrastructure upon approval. 
 
2. Ideal Profile:
 
  • Excellent communication skills;
  • Fluency in English (written and spoken);
  • Knowledge of Dutch and/or French is an advantage;
  • Social Media and IT (MS Office, Cloud Services, audio and video equipment) savvy;
  • You feel at home in an academic, international, multicultural, and complex organisational environment;
  • You are able to organise your workload, manage your own time and set clearly defined priorities;
  • Capable of multi-tasking and work with a variety of staff;
  • Excellent interpersonal skills both in person and by e-mail & phone;
  • Experience in designing web pages and/or providing material for websites, newsletters, social media;
  • Eye for detail and willingness to continuously learn;
  • Ability to work independently as well as in a small team.

  • For the duration of the internship, you can make free use of the work apartment (located above the UM Campus Brussels building) within the regulations of the UM Campus Brussels.
This position will be available from the end of August and for a duration of 3 to 6 months.
