Administrative Assistant The Cooperation for Fair Trade in Africa (COFTA)

VACANCY

The Cooperation for Fair Trade in Africa (COFTA) has a vacant position of Administrative Assistant with Accounting Background to fill immediately.

Location: Nairobi (Karen Area)

Starting Date: 1st December 2011

Type of Contract: I year, with a possibility of renewal


Scope of Responsibilities

(i) Performs routine accounting duties and maintains various accounting related files, databases and supporting documentation such as:-

• Processes payment requests, prepare and record billing charges, writes receipts for monies paid and received, payroll, bank reconciliation etc;

• Handling Petty Cash, receipting, banking and maintenance of cash and banking records


(ii) Managing the organization’s front office including responding to all official enquiries, making formal appointment, Maintain a warm welcome, provide information to staff, receive messages, communication, visitors and telephone callers to the organization and direct them accordingly;

(iii) Maintaining an efficient office filing system and management of general office correspondences

(iv) General office maintenance (cleanliness, ample working environment, ensuring availability of utilities/office supplies)

(v) Provide membership support services to the members of the network

(v) Handling other administrative and clerical duties as deemed necessary to support the entire team


Qualifications

(i) Diploma is Business Administration (Management)/Secretarial

(ii) Bookkeeping or accounting experience; QuickBooks experience will be an added advantage

(iii) Experience with accounting software (s)

(iv) Proficient in use of Ms Office (Ms Access, Ms Excel, Ms Word, and Power Point) and Internet based applications as well as experience with accounting software,

(v) Fluency in spoken and written English; knowledge of any other international language will be an added advantage

(vi) Demonstrated good communication skills and customer service

(vii) At least 2 years experience in similar position
