United States Of America Administrative Assistant I

The position will provide administrative support and coordination to three (3) CC department directors focusing in the areas of Prayer Ministries, Christian Formation and Leadership Development, and Public and Church Engagement and other administrative tasks as required/needed by CC


KEY RESPONSIBILITIES:

      25% - Support Director of Christian Formation and Leadership Development
    • Coordination global mailing of resources using recorded protocols, End result expected: Resources are distributed properly and effectively to sensitive and non-sensitive contexts
    • Coordinate and schedule large face-to-face conferences and conference calls including note-taking responsibilities. End result expected: Attendees are informed and event logistics are managed according to need and expectations; meetings are accurately recorded and action items are planned
    • Provide administrative support for team activities and other tasks as needed. End result expected: Supports director in planning projects, tasks are completed competently and efficiently

      25% - Support Director of Prayer Ministries
    • Research as required for the purpose of informing and data collection. Search for media images for products/presentations; assist in building databases of prayer engagement. Collect, link and edit materials for reports. End result expected: Technical needs are met. Director receives research data and acts upon information.
    • Edit monthly prayer guide. End Result Expected: Prayer requests are reviewed and edited for sensitive content and organised in the format for final review by Educational Resource Specialist
    • Coordinate and schedule large face-to-face conferences and conference calls including note-taking responsibilities. End result expected: Attendees are informed and event logistics are managed according to need and expectations; meetings are accurately recorded and action items planned.
    • Provide Administrative Support to team activities and other tasks as needed. End result expected: Supports director in planning projects, tasks are completed competently and efficiently

      25% - Support Director of Public and Church Engagement
    • Assist in building database of Church Engagement. Research as required for the purpose of informing and data collection. Collect, link, and edit materials for reports. End result expected: Supports director in planning projects, tasks are completed competently and efficiently
    • Coordinate and schedule large face-to-face conferences and conference calls including note-taking responsibilities. End result expected: Attendees are informed and event logistics are managed according to need and expectations; meeting are accurately recorded and action items planned.
    • Provide Administrative Support to team activities and other tasks as needed. End result expected: Supports director in planning projects, tasks are completed competently and efficiently

      15%- Collect data, write and edit and edit bi-monthly CC Newsletter.
    • End result expected: Newsletter is carefully prepared according to department protocols for final review

      10% General Administrative Tasks as needed for CC, including but not limited to:
    • preparing presentations/documents,
    • assisting with preparation for larger department meetings,
    • maintaining organisational charts, etc.
    • End result expected: Tasks are completed competently and efficiently


KNOWLEDGE, SKILLS & ABILITIES:
      REQUIRED:
    • 2 years of college course work completed
    • High functioning written and verbal English Business Communication and proven ability to graciously and effectively communicate with a variety of people at all levels of an organisation adapting communications according to culture and sensitivity of context..
    • Intermediate skills with MS Office with ability to learn other computer programmes as needed
    • Minimum 5 years experience as an administrative assistant, with a minimum 2 years successfully supporting multiple parties simultaneously and a minimum 2 years experience successfully supporting high-level director(s)
    • Event planning experience with ability to travel on-site events
    • Proven ability to have a flexible, mature, and positive attitude and manage time well while supporting multiple projects with multiple deadlines

      PREFERRED:
    • 4 years of college coursework or Bachelor's Degree
