PA to Vice President - Global Diageo Business Services

The new Global Diageo Business Services (GDBS) business unit launched on October 2011. GDBS encompasses IS and DBS in a single function, and will enhance service efficiency and market support.
GDBS aims to liberate our markets to focus on customers and consumers. Excellent shared services have a crucial role to play, in freeing markets from managing all back office functions alongside their commercial delivery. Key elements of GDBS include:

  • Business relationship management - our four BRMs and the teams supporting them are aligned to local market needs and will act as a single point of accountability for GDBS services.

  • IS services - global organisation focused on delivering high quality IS services, technology and end-user support operations, security and architecture. The main ways of contacting the team will remain the same, i.e. the IS Service Desk on your normal, local number and IS Self-Serve online.

  • Business services (formerly DBS) - the business services team, based in Budapest, deliver efficient, standardised and compliant transaction and analytical services to support market demand.

  • Finance, strategy and governance teams deliver holistic GDBS strategy and roadmap and manage our portfolio and AOP commitments to achieve year on year benefits.



Top Accountabilities

Management Support


  • Support the VP - GDBS, co-ordinating information and business flows as necessary.

Organisational Tasks


  • Manage accessibility to the VP’s’ diary.

  • Set up and maintain regular meetings with GDBS key stakeholders, direct reports & extended leadership teams as advised.

  • Arrange all P4G meetings with direct reports in line with HR timelines and support the VP-GDBS to meet the timelines set out by HR.

  • Deal with all routine post and emails.

  • Assist in the preparation and distribution of correspondence and documents

  • Organise and arrange travel itineraries, locally and overseas, co-ordinating with counterparts in other locations.

  • Provide cover for Executive Assistant during peak workload, sickness or holidays including the CIO.

  • Proactively manage electronic filing and actively minimise paper filing.

Event Organisation


  • Organise workshops and events, sometimes without guidance. (Distribute agendas and collate pre-reading material.).

  • Create presentation slides and supporting materials when required.

  • Organise and co-ordinate functional and business meetings including video conferencing/ HALO.

  • Arrange and attend team meetings following up on actions, as appropriate.

  • Finance

  • Prepare monthly expense returns, and review direct reports expense claims before giving to VP to approve.

Communication


  • Ensure fluid communication is maintained with team members and their customers.

  • First point of contact in the team. Inform team members of any company development through onward communication of relevant information and follow up on actions and requests.

  • Responsible for co-ordinating team activities.

  • Provide assistance on key GDBS community projects and Diageo projects.

  • Create a GDBS Community within the office.



Qualifications and experience required

Qualifications
Must have relevant academic background minimum GCSE's or equivalent

Experience
Relevant office administration/ organisational experience within a fast moving commercial environment.
Will be required to interface with overseas locations.

IT Skills
Microsoft packages (Intermediate),
Has an understanding to resolve software problems
Good working knowledge of both Excel and Powerpoint.
