Administrator

The Role

The role is responsible for working closely with three functions: Membership, the Chief Executive’s office, and the Company Secretary. In this role you will provide an efficient and confidential administrative support to the Chief Executive by managing the diary, correspondence and the CEO’s finances. You will also provide secretarial and administrative support to the Board of Trustees and Company Secretary which involves organising and compiling papers for Board meetings, AGMs and supporting the Trustees as a point of contact. Another major area of responsibility for the Administrator will be working within RedR’s membership function, providing support, arranging interviews, organising speaker events and being a point of contact for current and prospective members.

Role Description

Main Duties and Responsibilities:

The duties of this role are split between three functions: Membership, the Chief Executive’s Office, and the Company Secretary

Membership Department (40 % of time)

  • Arrange Membership interviews both in the UK and Internationally
  • Organise membership events
  • Manage the Membership Admin Volunteer’s workload and provide support/training where needed
  • Oversee the membership application process, assisting with the pre-assessments, contacting referees, following up with applicants
  • Oversee the Membership data entry process to ensure that information is stored accurately on RedR’s database
  • Continually develop the database functionality to suit Membership’s needs
  • Produce Membership e-bulletins to ensure that Members are kept up-to-date with RedR activities, external opportunities and issues in the sector
  • Work with the Membership Manager and volunteers to produce a clear strategy for membership engagement and development
  • Help manage and develop membership networks to ensure they are up to date and relevant to members
  • Welcome members into the office and ensure that where feasible they can meet relevant staff and use resources such as the library

Providing an administration and secretarial support to the CEO through: (50% of time)

  • Managing the CEO diary
  • Managing/analysing the CEO correspondence
  • Managing the CEO email
  • Maintain information in support of special funder portfolio
  • Maintain records of CEO credit card and expenses
  • Providing Minute taking and admin support to Senior Management Team meetings
  • Dealing and responding to queries on RedR’s general email inbox

Providing administrative support to the Company Secretary (10% of time)

  • Providing secretarial and administrative support for:
  • Quarterly board meetings by maintaining the diary of meetings, organising venue and refreshments, drafting agenda, compile and circulate papers, taking minutes, ensuring items are carried forward from one meeting to another.
  • Annual General Meetings (AGM) - compiling and circulating notices and papers for the AGM, compiling and circulating notices for elections to the Board and minute taking of the AGM
  • Trustees – support individual trustees by organising inductions for new trustees, acting as a point of contact for the organisation, processing expense claims etc
  • Statutory records – maintain up to date statutory records including – minute book. Register of members, Being responsible for maintaining and updating Trustee website pages as required
  • Taking lead responsibility for maintaining and updating the database in relation to Trustee information and data. register of directors/secretaries
  • Provide support to committees and ad hoc working groups of the board

Other

  • Assist with general office administration if required

Essential

  • A professional administrator with strong organisational skills, with excellent attention to detail
  • An ability to prioritise, manage and complete a variety of tasks at times in periods of high pressure
  • Able to deal with confidential matters discreetly
  • Flexible, proactive and self-starter in approach to work
  • Excellent interpersonal skills to be able to work with a wide variety of internal and external contacts and Trustees
  • Good initiative, enthusiasm, problem-solving approach to new challenges
  • Proven IT literacy on Microsoft Office Packages to include Word, Excel, PowerPoint and Outlook

Communications & Marketing Officer (F/t)

The Role

Ideal for a candidate who has charity communications experience and is looking for a new challenge in a dynamic team or a communications specialist looking to move into the charity sector.

Role Description

The Communications and Marketing strategy is defined on an annual basis to fit the current needs of the organisation.
In 2012/13 we have four key objectives:

  1. To support the Fundraising Team to maximise voluntary income for the organisation
  2. To attract the right participants to our UK based training courses
  3. To improve RedR’s profile
  4. To ensure consistent brand & marketing.
    The team have developed an increasingly effective website and maximises all online channels. Other key areas of activity include impact reporting, print production management, design, video production and media/PR.

Main Duties and Responsibilities:

  • As part of the Comms & Marketing team to implement RedR’s communications and marketing strategy. This will include, but is not limited to, some of the following activities
    • Copy-writing and production of key RedR publications including Annual Review and bi-annual RedAlert supporters magazine.
    • Development and management of RedR’s website and extranet.
    • Research and write copy for external articles and press.
    • Supporting internal communications across RedR in the UK and internationally.
    • Production of monthly e-newsletter
    • Collation of personal stories/case studies and to undertake impact reporting trips to RedR’s country programmes as required.
    • Implementing the marketing plan for the promotion of UK based training courses
    • Video production for fundraising and marketing purposes.
    • Developing promotional and informational materials (printed and email format) for RedR activities (including fundraising, international programmes, recruitment, and UK training courses).
  • To support other departments, particularly the Fundraising and Learning and Development teams to develop their messaging and materials.
  • To champion and monitor the use of RedR brand guidelines and key messages.

  • Degree level qualification or equivalent, preferably in a communications or marketing related subject.
  • At least 1 years relevant experience covering a broad range of communications and marketing methods. Demonstrable experience of the charity sector.
  • Experience in at least four of these areas
    • Writing/editing/sourcing case studies, news and interviewing for a range of audiences.
    • Building a case for support and reporting on impact
    • Editing and producing publications
    • Working with websites including web design, development, optimisation and editorial oversight
    • Working with e-communications
    • Developing strong visual brand
  • Familiarity with and enthusiasm for maximising social media platforms, such as Facebook, Twitter and YouTube.
  • Highly computer literate including familiarity with Quark or similar software packages

Tailormade Training Manager

The Role

This role is responsible for developing and delivering our Tailor Made Training service, providing line management to the Technical Training Coordinator and working closely with the Security Training Team. In the last year alone the Tailor Made Training service has grown by over 50% and delivered training events in more than 30 countries worldwide. This role is responsible for the continued growth of that overall service as well as hands-on responsibility for managing and delivering training events.

It is an ideal role for a dynamic and entrepreneurial Learning and Development specialist who is focused on delivering high quality services in line with client needs. The ideal candidate will be willing to take on a range of varying responsibilities and provide direction and support for their team while delivering on individual
projects.

Role Description

Main Duties and Responsibilities:

  • Lead on RedR’s programme of Tailor Made Training and Consultancy Services, overseeing the delivery of around 90 worldwide events each year to organisations in the Humanitarian sector.
  • Design and deliver a strategy to ensure the continued growth of RedR’s Tailor Made Training whilst ensuring it maintains a high level of quality.
  • Personally manage around 25 events a year; building relationships with client organisations, designing training and consultancy events that meet their needs, engaging consultant trainers where necessary and handling all contractual processes.
  • Be the lead trainer for a number of RedR training events each year.
  • Manage the Technical Training Coordinator and provide close support to the Security Training Team.
  • As a member of the L&D management team, contribute to the overall L&D strategy, and management of the wider team.
  • Manage all aspects of the budget in relation to Tailor Made Training including budget planning, monitoring, forecasting and reporting.
  • Continue to develop and maintain the necessary infrastructure to ensure the highest quality training including; processes for event management, assessment of trainers, guidance and support for trainers, information systems, and high quality and up-to-date training materials.
  • Work with the UK Open Training Programme to ensure consistency and quality in training.
  • Build and maintain relationships with key individuals in agencies operating in the sector including NGO’s, UN agencies, clusters and donor organisations.
  • Represent RedR at events where required.
  • Support the production of funding proposals.
  • Provide support to RedR’s International Programmes where required, assisting in trainer assessment, course design and delivery and event management advice.
  • Work with RedR’s Communications and Marketing team to promote the Tailor Made Training service.

Person Specification

Experience

  • Extensive experience (minimum 5 years) in training and facilitation including assessing learning needs, design of curriculum, evaluation of events and assessment of learning outcomes
  • Extensive experience (minimum 5 years) of training on a range of topics with diverse participants and often in a non UK location.
  • Experience in assessing other trainers
  • Experience of working in the Humanitarian sector with NGO’s and preferably with UN agencies also
  • Experience of designing and delivering tailor made or consultancy services in line with client needs
  • Solid project management experience and knowledge including experience of event management
  • Experience of recruiting, contracting and managing consultants
  • Experience of working with multiple stakeholders, often in geographically diverse locations

Skills & Knowledge

  • Excellent knowledge of adult learning including technical understanding of learning styles, and appropriate pedagogy
