Administrator - Policy & Advocacy , Oxford


Salary: £13,993 per annum gross for 29 hours including Hot Spot allowance (equivalent to £17,370 full time)

OXFAM PURPOSE: To work with others to overcome poverty and suffering
 
DIVISIONAL PURPOSE: The Campaigns & Policy division works with others to overcome poverty and suffering by promoting lasting change in policy, practice, ideas, beliefs and behaviour
 
TEAM PURPOSE: To provide high quality political, policy and power analysis to underpin, develop and drive forward Oxfam's public policy goals, advocating for those goals through a range of advocacy strategies
 
JOB PURPOSE: To perform administrative tasks within the Policy & Advocacy team, enabling those supported to be more effective
 
REPORTING LINES: Postholder reports to Executive Assistant to Head of Policy & Advocacy (No staff report to this post)
 
BUDGET RESPONSIBILITY: Administrative / Monitoring only


Dimensions

  • Provides administrative support, and manages and maintains equipment
    Contributes to the development of improvements to the department's services, procedures and systems
  • Communicates widely within the department, with other Oxfam contacts and wider external contacts, often acting as a first point of enquiry for people contacting the team
  • Solves basic problems and takes decisions based on a number of possible options

Key Responsibilities

  • To provide general administrative support to the Policy & Advocacy team, including organising meetings, collating information, supporting with the printing and circulation of papers, filing (mainly electronic), and undertaking personnel and finance related administration
  • To handle enquiries from external organisations and colleagues, by email, on the phone and in person
  • To make travel arrangements for policy advisers, including booking flights and accommodation, lodging visa applications with travel agent and liaising with logistics contacts in country of destination
  • To carry out basic monitoring of sub-team travel and phone budgets (in support of sub-team heads) and complete invoice paperwork
  • To assist with the recruitment process and induction schedules for new team members
  • To undertake other appropriate projects in support of the team
  • To play an active role in the administration team, including providing cover when required

Skills and Competence

  • Experience of providing administrative support in a busy office environment (E)
  • The ability to prioritise and co-ordinate several tasks at the same time, without supervision and within tight timing constraints (E)
  • Good organisational skills and attention to detail (E)
  • Good interpersonal and communication skills, to communicate effectively, verbally and in writing, and to deal with a wide range of contacts (E)
  • Good computer literacy and knowledge of Microsoft Office applications (including Word, Excel and PowerPoint) and the ability to learn new applications and support others' IT needs (E)
  • Good written and spoken English (E)
  • Commitment to Oxfam's values and an understanding of gender and diversity (E)
  • Good numerical skills and some familiarity with budget tracking (D)
  • An understanding of Oxfam's Policy & Advocacy work (D)
