Oxfam Purpose: To work with others to overcome poverty and suffering.
Job Purpose: Provides administrative support to the HR operations team, enabling the effective delivery of generalist HR support to the Campaigns and Policy, Supporter Marketing, Corporate HR, Finance &IS and Communications divisions.
Reporting Lines: Reports to: Human Resources Executive, Finance & IS.
Dimensions
- Draw from a number of information sources to inform individual and group decisions.
- Solves basic problems which have some variety, and takes decisions based on a number of possible options.
- Communicates widely within the department, with some Oxfam contacts and/or wider external contacts.
- Contributes to the development of improvements to the department's services, procedures and systems.
- Plans ahead and works in a systematic and organised way.
- Focuses on customer satisfaction and delivers a quality service to agreed standards.
Key Responsibilities
- Update and maintain computerised personnel records (PeopleSoft HR) and files for relevant staff.
- Provide daily administrative support to the three HR Executives and respond to basic queries from workforce, as required.
- Supporting the HR Advisers and Employee Relations Manager as and when required.
- Cover for the HR Executive(s) in their absence when required.
- Recruitment Support; liaising with managers and candidates, advertising vacancies, providing logistical support on interview days and managing recruitment files.
- Produce contracts of employment, standard HR letters and other HR documentation to a high standard with high attention to detail.
- Provide HR management information, as required.
- Be responsible for absence management administration which includes updating absences on the HR system and running absence monitoring reports.
- Maintain employee personnel files and archives, ensuring compliance with data protection and relevant legal frameworks.
- Responsible for managing the HR Induction programme and monitoring attendance.
- Creating employee welcome packs.
- Note taking support at formal meetings.
Skills and Competence
- Proven administrative experience (E) in an HR role (D)
- Ability to deal in a tactful and professional manner with confidential information and sensitive situations. (E)
- Team player, with strong interpersonal, and relationship building skills (E).
- Ability to communicate clearly, both verbally and in writing. (E)
- Excellent organisational skills and ability to prioritise and plan work in a logical and clear manner in order to meet deadlines and maintain quality (E)
- Ability to demonstrate attention to detail (E)
- Excellent numerical skills. (E)
- Good IT skills - ability to use word processing, spreadsheets, e mail, internet. (E) Experience using HR software (D)
- Inerest in the field of Human Resources (D)
- Ability to self-motivate and remain focused during administrative tasks, (E)
- Positive and flexible attitude and willingness to undertake a wide variety of tasks (E)
- Organisational awareness and a commitment to the ethos and aims of Oxfam. (E)
