Job Summary

The Business Systems Specialist will administer the implementation, configuration changes and effective operation of the SAP Grants Management (GM) and related modules. The incumbent will be responsible for implementing SAP process improvement, shared drive solution and departmental website.

Major Responsibilities

  • Works with the Office Of Research Services management team, Finance and other departments to integrate ORS business processes into the larger context of the university’s SAP environment;
  • Identifies service requirements and shortfalls within the University’s SAP environment (and elsewhere) and coordinate (or provide) the design of innovative solutions;
  • Executes projects assigned by the ORS Manager, including designing, planning and testing SAP enhancements, process improvements and new initiatives;
  • Documents all processes of the award application and management and translate them into workflows and the respective SAP system processes;
  • Develops and provides SAP GM system’s trainings and manuals for the ORS team as well as other users;
  • Liaises between the IT department and ORS in all questions related to system development;
  • Responsible for data storage, archiving and shared drive solutions for the department;
  • Takes technical responsibility for the departmental website and coordination of any developments or updates;
  • Ensures that financial processes in pre and post award align with the University’s financial practices and that policies, procedures and processes are maintained and documented in order to guarantee data integrity and appropriate risk management;
  • Assists ORS management team in the development of the required reporting tools;
  • Performs any other job-related duties as assigned by supervisor.

Technical Skills

  • Strong analytical skills and the ability to evaluate and translate business requirements into workflows and blueprints;
  • Sound project and data management skills to use formal methodology and software.

Non-Technical Skills or Attributes

  • Understanding of academic research and management of project based research funding preferably in a Higher Education Environment;
  • Skills and experience in providing process directions and training;
  • Demonstrated organizational and time management skills. Ability to manage multiple projects that require independent planning, organizing and prioritizing daily operations in order to meet deadlines;
  • Excellent English language proficiency in financial, business and IT vocabularies;
  • Strong interpersonal, communications and presentation skills;
  • An eye for details and ability to assimilate and summarize information quickly;
  • Cross cultural sensitivity and awareness.

Required Education

Minimum Bachelors, A Master’s degree preferably in IT systems, business administration, finance or in another area applicable to job requirements or a professional qualification of equivalent standing;

Required Experience

  • About 7 years of experience in a business-related or sponsored research projects administration field preferably in higher education;
  • Experience of the application of IT to business processes, preferably in higher education;
  • Knowledge of financial IT systems and their implementation and development, ideally within the context of university business requirements;
  • Familiarity with SAP Project System and Grant Management Modules;
  • Practical experience of working on or leading the implementation of large, complex information systems and complex integration projects and having delivered interfaces between major business system applications;
  • International experience is an advantage.
