Assistant of the Public Health Department

Medecins Sans Frontieres (MSF) is an independent, medical, emergency relief organisation that provides assistance to people worldwide, regardless of their background, religion or political convictions. Above all, we aim to save lives and to offer medical care to victims of disasters, wars and epidemics. Working together with local staff, we give direct support to the population. MSF also appeals to those in power, including governments and international organisations, and speaks out about the abuses we encounter in the course of our work. The Dutch organisation 'Artsen zonder Grenzen' (MSF-Holland) is a member of the international organisation 'Medecins Sans Frontieres'.
MSF Operational Centre Amsterdam (OCA) currently operates medical humanitarian interventions in 25 countries. On a yearly basis MSF-Holland deploys over 800 international staff and employs approximately 6000 national staff. At headquarters in Amsterdam, approximately 170 employees offer their support to the projects.
The Public Health Department (PHD) of MSF-OCA supports the overall purpose of MSF, providing medical and public health leadership for the organisation. The department is responsible for providing strategic direction and integrated advice on medical and public health issues to the field and headquarters. The department is made up of a group of generalist Health Advisors (based in Amsterdam and Berlin) working directly with operational managers and the field, a Water and Sanitation Unit and medical and public health specialists (nutrition, laboratory, mental health, pharmacy etc) so as to provide expert support in a range of fields. The department consists of 30 staff.
Due to the departure of the current assistant, the Public Health department is looking for an enthusiastic: Assistant of the Public Health Department (100%)
The assistant of the Public Health department reports directly to the Head of Department and operationally to the Co-ordinators of the Health Advisors unit, Medical Specialists unit and the Water and Sanitation Unit. In this position you provide administrative and organisational assistance to the Head of Department, Coordinators of the Department and other employees of the department.
Main responsibilities:
  • Supports the department in ongoing day-to-day business and administration; such as processing financial declarations and invoices, arranging facilities, managing phone calls and collecting post.
  • Plans and facilitates regular meetings and conference days and takes minutes.
  • Keeps an overview of presence of department staff, including registration of holidays, sick leave and field visits and coordinates a minimum presence as well arranges the attainability outside office hours for urgent matters.
  • Maintains the departmental information storage (SharePoint), arranges archiving, and is responsible for communicating and sending out updated resources to the field.
  • Supports the Head of Department and Coordinators in the department more specifically with managing agendas, scheduling meetings, planning and reporting.
  • Gives introduction and supports orientation of new members to the department.
  • Is responsible for continued implementation of SharePoint concerning consistency of public health information as well as helping members with the transition.
Profile
You are enthusiastic, result-oriented and like to work in a busy environment where multi-tasking is essential. You have proven experience in administrative support tasks (including minute taking in meetings) and have at least higher level education. You can familiarise yourself quickly with new topics, work independently and are a team player. You have excellent communication and organisational skills. You know how to use computers and programmes such as Word and Excel. For this position a native (or near-native) level of English is a prerequisite and knowledge of Dutch is an advantage. You have affinity with MSF's goals, culture and philosophy
