Job summary

The Human Resources Assistant will provide administrative support to the Human Resources Section comprising of a team of Human Resources Officers, the Head and Deputy Head of the Section in all activities related to recruitment, contract administration, training and development and any other duties as and when required.

Task description

The post holder will:

1. Be responsible for the logistical arrangements for recruitment across the Secretariat under the guidance of the recruiting Human Resources Officer by:

  • Liaising with candidates and booking flights through external travel agencies;
  • Arranging for visas as and when required for candidates;
  • Booking hotel accommodation for candidates;
  • Booking rooms for the interviews and assessment exercises by liaising with the appropriate sections of the Secretariat;
  • Organising subsistence cheques and reimbursement for candidates by liaising with the Finance Section;
  • Collating information, producing and distributing interview packs for the panel;
  • Liaising with external panel members and arranging subsistence payments/accommodation where necessary;
  • Securing Commonwealth Staff Association (CSSA) representation for panels;
  • Ordering lunches for interviews and providing snacks for interviews/visitors;
  • Any other duties required on the day of the interviews including ensuring the appropriate equipment is organised etc.

2. Assist with logistical arrangements for new employees joining the organisation by;

  • Liaising with travel agents and employees to arrange flights;
  • Engaging in written and verbal correspondence to arrange for visas for new employees;
  • Arranging for transport on arrival to the UK to accommodation for candidates;
  • Negotiating with external suppliers to arrange shipment of employees effects from home country to UK;
  • Arranging temporary accommodation on employees arrival by liaising and corresponding with serviced accommodation suppliers;
  • Following up references.

3. Performs other duties as required.
