1. BACKGROUND & ORGANIZATIONAL SETTING

Under the aegis of United Nations General Assembly Resolution 46/182, OCHA has established the Information Services Section (ISS) as an integral part of the Communication and Information Services Branch (CISB). ISS is responsible for strengthening the information management capacity of OCHA in both disaster preparedness and response.

As an integral part of the Communication and Information Services Branch (CISB), the Information Services Section (ISS) is responsible for strengthening the information management capacity of OCHA in both disaster preparedness and response. The roles of the section are:

• Facilitate the effective strategic management of OCHA’s information domain, i.e. the range and volume of information that OCHA acquires, generates and disseminates.
• Provide coordination and leadership in the application of information management in disaster preparedness and response, helping to assure that the information resources and information management expertise required by OCHA to function effectively in emergencies is available.
• Build sustainable partnerships in advance of disasters that directly contribute to the predictable exchange of information in emergencies.

The intern will be a member of the ISS team working to support the rollout of the OCHA’s intranet (OCHANet), build custom list-based solutions, and develop ‘proof-of-concept’ solutions for consideration. He/she will be expected to maintain close working relationships OCHA Country Offices and relevant HQ-based intranet focal points.

2. REPORTING RELATIONSHIPS

The intern, based in Geneva, will be reporting on a daily basis to an Information Management Officer within ISS Geneva.

3. JOB DESCRIPTION

The intern will support the overall goals and objectives of ISS by:

a) Aiding the roll-out and adoption of OCHANet by:
i. Uploading relevant content from share drives and central document management system,
ii. Providing one-on-one training to OCHANet focal points,
iii. Enabling dynamic services to ensure latest content is always available, and
iv. Updating content to reflect latest information;
b) Building custom list-based solutions for respective business owners;
c) Developing proof-of-concept solutions on OCHANet to demo, within OCHA, the benefits such tools could provide including the possibilities of replacing existing OCHA tools;
d) Develop a short report and presentation, at the end of the internship, on how OCHA could expand the usefulness of its Intranet.

The internship is an excellent opportunity for graduate students to build upon conceptual skills in information systems and apply them in a diverse, dynamic, and international environment in support of the United Nations and the global humanitarian community. The internship is for 40 hours a week.

4. QUALIFICATIONS:

a) Education: Applicants must be currently enrolled in a graduate-level program in:
i. Business Administration (Computer Science),
ii. Management (Information Systems),
iii. Information Technology (Information Management, Information Systems, or Information Architechture),
iv. Information Systems, or
v. a related subject;

b) Experience:
i. Experience in Microsoft tools (specifically Office 2010 and SharePoint) is highly desirable;
ii. Experience of database development and management is desirable;

c) Language: Fluency in written and spoken English is essential; fluency in one or more official UN languages is desirable, particularly fluency in French.

d) Other skills:
i. Competencies in one or more of the following applications: Microsoft Office (particularly advanced user certification of MS Access, MS Excel, MS Project and MS Word);
ii. Knowledge of other new technologies (i.e. competitors to those mentioned above) would be beneficial;

5. INTERSHIP INFORMATION:

A few key points regarding internships at the United Nations:

a) Internships are normally for a minimum of three-month period. Under certain circumstances, an internship can be extended for up to a total of six months.

b) Internships are unpaid. The intern is responsible for their own travel, accommodation, medical insurance, visas, and living expenses.

c) Interns are not allowed to apply for a job within the UN Secretariat for a period of six months following the internship.
