Vacancy for a Personal Assistant (PA) to the Director General in the European Association of Pharmaceutical Full-line Wholesalers

GIRP, "European Association of Pharmaceutical Full-line Wholesalers", is the umbrella organisation of pharmaceutical full-line wholesalers in Europe. GIRP has a vacancy for a Personal Assistant to the Director General, based in the GIRP office in Brussels. We are particularly interested in receiving applications from those with one or two years prior experience in a similar position showing a high-level of commitment, attention to detail, stress-resistance, flexibility and maturity in their work. The individual must be able to work independently, be proactive and work as part of a dynamic team. Candidates must demonstrate the ability to prioritize tasks and work to tight deadlines. Ideally, the successful candidate should be prepared to start as soon as possible.

Duties include:

  • Agenda/diary management
  • General correspondence by email & post with limited instruction, on various topic and follow-up on pending matters
  • Preparing of documents and meeting papers
  • Co-ordinating and booking of travel arrangements
  • Researching contact details and contact database management
  • Filing & responsibility for the archive
  • Assisting with the organisation of events
  • Assisting with financial administration
  • Responding to urgent, ad hoc requests
  • Telephone work, fixing meetings, making appointments and other administrative work
  • Web-site updates

Qualifications required:

  • Knowledge of English and German at mother tongue level (any other European language is an asset)
  • Outstanding verbal and written communication skills
  • Sense of responsibility and ability to take initiative
  • High degree of attention to detail
  • Excellent organisation skills
  • Ability to work to tight deadlines
  • Loyalty and sense of confidentiality
  • MS Office literate
