Conference Operator ECHA - European Chemicals Agency

It provides the Member States and the EU institutions with the best possible scientific and technical advice on issues relating to the chemicals under REACH Regulation and biocidal products under the Biocidal Product Regulation. ECHA is responsible for managing, and in some cases carrying out, the technical, scientific and administrative aspects of the regulations, and ensuring consistency at Community level in its application. 1. The Job

Scientific Officers are scientific experts who will work in multidisciplinary teams The Conference Operator will work mainly in the Directorate of Resources of the Agency, in the Corporate Services Unit. She/he will be part of the Conference Services Team.

In particular, she/he will be responsible for the following tasks:

Main duties and responsibilities:

  • Provide administrative, logistical and secretarial support to the organisation of external events, in particular the meetings of the Committees, the Forum and their Working Groups but also of other meetings and events organised by ECHA;
  • Support the administration of the reimbursement claims of the Committee and Forum members, invited experts and other participants by responding to reimbursements related inquiries and collecting the necessary documentation;
  • Process reimbursement claims of meeting participants in accordance with ECHA implementing rules and initiate payments in ABAC; process mission claims from staff in accordance with the Guide to Missions;
  • Liaise with other staff responsible for meetings and conferences;
  • Network with the secretaries and assistants in the Agency in order to develop and implement homogeneous and compatible procedures, norms and working methods for meeting organisation throughout the Agency;
  • Prepare monthly and yearly reports of the meetings held in the ECHA conference centre;
  • Support the secretaries and assistants in the review and implementation of a quality control system for the management of the Committees and Forum meetings.

Other duties:

  • Assist in the coordination of catering and other services for the meetings and other events;
  • Administer the document management and distribution systems;
  • Train and assist new colleagues when needed;
  • Co-operate with the other services of ECHA as required;
  • Perform other duties related to the job.

2. Qualifications

  • Successful completion of post-secondary level education attested by a diploma.

Or

  • Successful completion of secondary education giving access to post-secondary education and having additional professional experience of at least three (3) years.

Only qualifications issued by EU Member State authorities or EEA authorities and qualifications recognized as equivalent by the relevant EU or EEA Member State authorities will be accepted.

3. Professional Experience

To qualify for this profile, you must have at the closing date for submission of applications minimum one (1) year of professional experience relevant to the job, attained after the fulfilment of the requirements in 2.2 a) or b).

4. Selection Criteria

If you meet the eligibility criteria set out in section 2, you will be assessed on the basis of the following selection criteria. The candidates who are judged to be the most suitable on the basis of the selection criteria will be invited to an interview.

  • Your academic and professional qualifications and their relevance to the main areas of work listed in section 1;
  • Your professional experience: the range of fields covered; the type and level of work done and its relevance to the areas of work listed in section 1.

The following will be considered as assets:

  • Work experience gained in a multicultural environment;
  • Work experience in an EU institution or body.

The academic and professional qualifications, professional experience and knowledge and experience considered as an asset must be described in the ECHA CV.
