Summary

The International Association of Professionals in Humanitarian Assistance and Protection (PHAP) is recruiting an Events and Communications Intern to start in September 2012 at its headquarters in Brussels, on a full-time basis, for a period of 3-6 months (negotiable) with the possibility of renewal. As an integral part of a small and dynamic professional team, the Events and Communications Intern will contribute significantly to the operations of the association, assisting in the planning and production of events, communications with current and prospective PHAP members; maintaining and further developing PHAP’s contact relationship systems; and the production of written materials.

About PHAP

The International Association of Professionals in Humanitarian Assistance and Protection (PHAP) is an international non-profit association made of and governed by individual professionals engaged in the field of humanitarian action. These professionals are working within UN agencies, international and local NGOs, the Red Cross movement, and civilian government agencies and militaries, as well as relevant policy and academic centers, media organizations, and private companies. Representing the global nature of the profession, PHAP members are currently based in more than 120 different countries and territories, the most highly represented of which are, at this time, Sudan, the United States, the Occupied Palestinian Territory, Afghanistan, Pakistan, Switzerland, and Kenya.

Established in mid-2010, PHAP’s mission has been designed to respond to a growing demand for professional development, networking, and knowledge-sharing opportunities among individuals deployed in the context of humanitarian crises. The common professional aim of PHAP’s diverse membership is to strengthen the protection of and assistance to vulnerable populations in situations of armed conflict, natural disasters, and other humanitarian crises through dialogue and knowledge-building across institutions and regions. Conditions

  • Starting date: 10 September 2012;
  • Based in Brussels (candidates must already be legally able to work in Belgium in order to be considered);
  • Full-time schedule of five days (38 hours) per week;
  • 3-6 month duration (negotiable) with possibility of renewal.

Employment will be under the Belgian “convention d’immersion professionnelle,” and the intern will thereby be covered by the Belgian social security. Compensation will be according to Belgian law for a maximum of 736,20 € per month. Please note that this type of internship cannot be given to students with an internship as obligatory requirement in their study program (bachelor; master).

Duties

  • Assist with the organization and implementation of training activities and other onsite and online events, including communications with applicants and prospective applicants; editing, proofreading, and production of event materials; processing of evaluation forms, etc.;
  • Assist with the implementation of membership application processing procedures as well as communications with current and prospective association members;
  • Assist with information management tasks across all activities of the association, in particular by updating membership, participant, and payment records; consolidating, cleaning, and further enhancing the functionality of PHAP’s contact relationship management (CRM) database; and contributing to the development and documentation of related processes and procedures;
  • Assist in the development and implementation of communication strategies and materials;
  • Assist with day-to-day office management tasks.

Qualifications

  • At least one year of prior relevant work experience (including prior internships);
  • Legally able to work in Belgium;
  • Excellent English language skills, including both written and verbal communication skills (professional fluency in French, in addition, is a significant advantage);
  • Strong IT skills (Word, Excel, databases), together with a demonstrated aptitude and enthusiasm for learning how to use new IT tools and systems;
  • Prior experience working with contact relationship management databases (in particular CiviCRM) is a significant advantage;
  • Prior experience working in a membership organization/ professional association is a significant advantage;
  • Demonstrated interest in and knowledge of the field of humanitarian affairs is an advantage;
  • Strong analytical skills and logical thinking capabilities;
  • Strong organizational skills, resourcefulness, flexibility and ability to efficiently handle multiple tasks;
  • Ability to work independently, with attention to detail;
  • Entrepreneurial spirit.
