We are currently seeking to recruit a HRIS Functional Lead.

About the role

Plan delivers its work through approximately 7,500 employees who work in the countries of operation, regional offices and at international headquarters. Business decision-making is presently hampered by poor quality and inconsistent information generated by manual systems. Ad hoc spending is taking place across the global program in a patchy effort to address this shortfall.

In November 2011, the Plan Global Project Board and the CEO Plan International approved a Business Case made by the People and Culture Department to move ahead with plans to fully scope and implement the purchase of a Human Resource Information System to reach every Plan International Inc. office and to include National Offices which may wish to opt in. The purpose of this post working under the direction of the HRIS Project Manager is to review the current processes and document the “to be” processes based upon the functionality of the chosen supplier platform. Working with the chosen suppliers consultants provide input to design and configuration so that after the pilot phase the project can carry out these tasks for all deployments. Provide end user training including documentation, manage UAT and provide system and change management support throughout the project lifecycle.

Dimensions of Role:

  • Work with the HRIS Project Manger and P&C Business Process Owners to understand and document current P&C processes
  • Liaise closely with regional and country offices, involving them in process change that will be necessary to implement a vanilla solution.
  • Review these processes based on the HR system solution chosen defining revised business processes that can then be used to support functional design.
  • Prepare for and lead the UAT and Training stages of each project phase.
  • Provide input to overall project scope, design, and planning so that an acceptable roll-out plan for all locations can be agreed.

Main Responsibilities

The project design and key project phases are agreed with the HRIS project manager, working group and process owners.

  • A key member of the HRIS Project Team, leading the functional design phase of the project.
  • Responsible for confirming requirements and producing design documents.
  • Review functional designs and solicit feedback from working group and process owners.
  • Review any changes to design with HRIS Project Manager and consulting partners
  • Understand configuration necessary to meet functional specification.
  • Document by user type (HR Manager, Departmental Manager, Employee) training needs
  • Work closely with HRIS Project Manager and training partner to design training and agree training schedules
  • Provide input to pilot stage lessons learned so that roll-out plans can be revised and confirmed.
  • Provide initial user support during roll-out phases.
  • Working with consulting partners and HRIS project manager plan for knowledge transfer to internal Plan support team

Project execution, covering pilot and roll-out

  • During the pilot phase, work closely with consulting partners to gain an understanding of configuration steps so that these steps can be performed by IH staff during roll out.
  • Lead design workshops during pilot phase, for subsequent roll-out phases document and present solution to locations in scope.
  • Raise all requests for change formally to HRIS project manager for review and approval.
  • Escalate issues if needed to HRIS project manager for resolution.
  • All change requests and issues must be documented on the project sharepoint site.
  • Working with HRIS project manager to help define steps, resources and tools needed for all roll-out phases.
  • Provide support to regional and country teams during roll-out phases so that they are able to gain the best from the new system.
  • Assist in classroom training for key HR users.
  • Review web based employee training for both managers and employee self service function. Design and production of this will be the responsibility of the training partner.
  • Working with consulting partners and HRIS project manager to plan knowledge transfer to internal Plan support team

About you

Knowledge

  • A business analysis designation
  • Proven track record of leading functional elements of global projects
  • Knowledge of current large HRIS systems (SAP/Workday/Oracle)
  • Knowledge of SAP systems an asset
  • Experience in working in an INGO environment an asset

Languages

English is required and another language such as Spanish or French would be an advantage

Location and Travel

This role will be based at International Headquarters in Woking, UK. International travel will be required during key project phases and will account for approximately 30% of the time.

Type of Role: Three year fixed term contract

Reports to: Project Manager, HRIS

Salary: Circa £40000 per annum
