Program Coordinator, New Business Development Washington, DC

Summary:

As the leading organization the field of the prevention and treatment of pediatric AIDS, the Elizabeth Glaser Pediatric AIDS Foundation engages staff to produce high quality proposals for multiple funding opportunities. We are currently seeking a detail-oriented individual to serve as a Program Coordinator for the New Business Development Unit, providing logistical and administrative support to the team. S/he will support the NBD Unit in daily operations and contribute to new and ongoing projects as requested.

Roles and Responsibilities:

Proposal Support

  • Provide support during the proposal process, backstopping the proposal manager and tracking/organizing proposal supporting documents.
  • Assist in formatting budget spreadsheets, tables, and other documents to ensure accuracy and quality.
  • Compile/organize proposal annexes.
  • Assist with copyediting and formatting of proposals as required.
  • Serve as point person for NBD entries to the online proposal tracker (matrix).
  • Prepare and/or finalize PowerPoint presentations and related materials for unit staff, as requested.
  • Research and prepare relevant materials for internal and external meetings with staff, USG and non-USG donors, potential funders, and other key groups or individuals.
  • Support efforts to maintain country donor landscapes.
  • Routinely update sample language and proposal supporting documents (corporate capability statements, past performance references, job descriptions, CVs, etc).
  • Contribute to new and ongoing projects as requested.

Administrative duties

  • Provide administrative and logistical support to the Director of New Business Development (NBD) and the NBD unit (including: invoices, expense reimbursements, travel arrangements, etc).
  • Plan for all NBD unit meetings and events.
  • Set up, schedule, and coordinate numerous meetings and conference calls; prepare and distribute agenda. Take meeting minutes as requested and finalize/summarize for distribution.
  • Maintain New Business Development Unit files (electronic and paper).
  • Update and maintain NBD master calendar.
  • Maintain current phone, email directory for internal and external contacts.
  • Maintain wed-based document storage and information sharing through NBD webpage on Foundation intranet.

Knowledge, Skills and Experience:

  • Bachelor’s degree required.
  • Minimum of one year of administrative experience required.
  • Demonstrated ability to work well independently under time pressure, prioritize and multi-task effectively.
  • Proven ability to work effectively as member of dynamic team in fast-paced, multi-cultural environment
  • Ability to interact effectively and professionally with all levels of management and efficiently provide support and assistance to co-workers.
  • Strong communication skills, both oral and written, are required
  • Strong and demonstrable proficiency in Microsoft Office Suite, with particular emphasis on Microsoft Access, SQL or other database programs.
  • Strong organizational skills and attention to detail, with ability to prioritize, take initiative and follow through.
  • Familiarity, interest and motivation to work in international development and global health or related field preferred, with international experience (personal or professional) a plus.
