ISS Pretoria: Office Manager


The ISS is seeking to appoint Office Manager for its Pretoria Office.  The successful candidate will be responsible for the administration coordination of a range of office management functions and a supervisor of a small hub of administrative staff in Pretoria and Cape Town. The candidate should be able to work well under pressure with minimal supervision, and possess the skills to multitask and work under pressure.
Successful candidate will need:
  • A minimum of 5 years of relevant working experience in office management. 
  • An appropriate Diploma in Office Administration or equivalent. 
  • A proven track record in relation to cash management, financial administration, procurement and staff management. 
  • The ability to organise and co-ordinate a range of varying functions with precision. 
  • The ability to be flexible and adapt to varying working conditions, depending upon needs of the organisation.
  • Ability to develop and maintain record keeping systems relating to a range of office functions.
  • Unquestionable integrity in carrying out job functions and engagement with other staff members. 
Main responsibilities of the position:
  • Provide general office management function according to the office administration needs and assists with the coordination and management of all administrative support services. 
  • Manage all procurement relating to the office, including the convening of the procurement committee.  Maintain a database of suppliers.
  • Providing guidance to Programme Administrators in relation to administration procedures.   
  • Administer the insurance of the ISS offices and related assets. 
  • Manage and maintain asset register. 
  • Convene monthly office administration meetings. 
  • Maintain administrative record keeping system for the office. 
  • Ensure all office contracts relevant licences/permits and insurance documents are properly maintained and updated as required. 
  • Maintain over side over the physical appearance and functionality of the office buildings and surrounding areas. 
  • Ensure that office maintains occupational safety standards.
Salary:  Competitive salary offered and initial length of the contract will be for two years, renewable subject to future funding.
