Tasks & Responsibilities:

Finance & Administration


Leads implementation of effective, efficient and professional office operations closely aligned with corporate polices and business processes established at GAIN’s headquarters in Geneva. Ensures delivery of high quality supporting services to stakeholders in Washington and Geneva. Develops and oversees finance and administration policies and procedures. 

•  Responsible for day-to-day financial management and bookkeeping, accounts payable, payroll, monthly closes, cash flow requests, tax filings, banking relationships, management of corporate credit card, corporate insurances, annual budgeting and audit support.  Leads, develops and manages special project planning initiatives.

•  Oversee all aspects of facilities and office management including; office and equipment leases, inventory, landlord responsibilities, and other supporting services. Responsible for space planning and management, security, safety, facilitates meeting management.

•  Manages, evaluates and proposes changes to vendor relationships, including suppliers that support operational activity for the organization. Directs the maintenance of organizational records with a focus on compliance with internal policies and procedures and external laws and regulations.   Oversee travel vendor to ensure business processes are compliant with Geneva policies.

•  Manages information technology infrastructure (computers, phones, internet, video conferencing), including development and implementation; provides front line IT user support and managers external vendors.  


Human Resources
•  Works closely with Geneva HR team to develop, maintain and communicate effective and efficient policies and administrative procedures for all staff-related matters and organization structure.

•  Manages all aspects of human resource administration, including payroll management and administration, tax management, legal compliance and employee benefit plans (401k, health, life, disability, etc.,) including vendor selection and management. 

•  Responsible for on-boarding of new employees, maintaining employee files, staff events (Christmas party, etc.), clarifying questions and obtaining reliable information on basic US HR guidelines and regulations to support US staff and inform Geneva based HR counter-parts (i.e. FMLA, COBRA, Workers Comp, ADA, HIPPA).

Skills & Attributes:

•  Strong financial management skills and experience working with outsourced payroll provider. Working knowledge of Quickbooks is a plus.
•  Demonstrated experience in managing projects, including problem analysis, conflict resolution and critical thinking with strong operational, analytic and management skills.
•  Familiarity with US employment and labor laws and regulations.
•  Strong interpersonal skills and ability to foster collaborative relationships with employees; highly approachable and responsive in nature.
•  Excellent communication skills (written and verbal); ability to articulate recommendations effectively.
•  Computer literacy required; working knowledge of MS Office (Excel, Word, Powerpoint).
•  Strong project manager with proven track record of completing short-term tasks under time-sensitive deadlines, while continuing to manage on-going long-term projects.
•  Natural organizer with demonstrated expertise in developing processes and systems to track and analyze information. Excellent time management and prioritization skills.
•  Independent, self-starter; makes informed decisions without constant direction.
•  Provides outstanding customer and service throughout the organization.

Experience:
•  8 to 10 years of combined experience in finance, operations and human resource management. 
•  Significant prior experience working with global, non-profit organizations.
•  Experience working in an entrepreneurial, matrixed, global organization highly desirable

Education:
•   A bachelor's degree in a relevant field.
