Office Manager - Maryland Wineries Association

The Maryland Wineries Association, a 501c(6) non-profit trade organization, is seeking a part-time office manager. The position will report to the association's executive director. The schedule is flexible.
The hire will work in MWA's office in Baltimore, Maryland. The successful candidate must be available for occasional evening meetings.

Primary Duties and Responsibilities

  • Office management & administration:
    • Manage day-to-day office communications (phone/email/mail) and fulfill customer requests for information;
    • Record/transcribe and prepare minutes of meetings of the Association and its committees;
    • Implement and follow an electronic filing system for all records and documents;
    • Volunteer management – enlist volunteers for events, festivals and tastings; communicate with volunteers throughout the year;
    • Develop and follow systems and protocols for events, vendors, partners and consultants;
    • Collect, track and process permits and licenses for MWA-sponsored events.
  • Accounting
    • Track and monitor budgets of MWA projects, assist in development of annual budgets and provide monthly update reports. Review monthly project reports with other staff members;
    • Create and send invoices, process payments, track festival and event revenue and other data.
  • General Project Management

Additional Association-related Duties and Responsibilities

  • Grant administration – File reports and updates for grants;
  • Association administration: Attend and help manage association meetings and events;
  • Other duties, as assigned.

Requirements

The successful candidate must be a well-organized, confident communicator and must:
  • Have demonstrated organization and planning skills;
  • Have extreme attention to detail;
  • Have experience with Quickbooks, Microsoft Word & Excel;
  • Understand and be able to execute basic accounting functions (invoicing, tracking payments, creating reports, etc.);
  • Have strong writing, editing and verbal skills;
  • Have excellent interpersonal communication skills;
  • Be able to manage multiple tasks/projects at once;
  • Thrive in a high pressure environment;
  • Be able to lift 40 pounds.

Preferred Experience

  • BA or BS in business, business management, communication or related degree;
  • Two or more years of administrative/office manager experience;
  • Interest in wine and agriculture.

Compensation Package

The position will be 20 hours per week with a base pre-tax annual salary is $20,000. The position includes two weeks of vacation time and a flexible work schedule. The position does not include medical or retirement benefits.
There is a potential for promotion to ¾ or full-time for a successful hire.
