F/T Special Events Coordinator sought for fast-paced development and graphic design consulting firm working with progressive non-profit clients.
Activities include managing all logistics of non-profit special events fundraising and production from small donor cultivation events to large gala fundraisers.
- Research and track prospective sponsorship prospects
- Research event venues as needed
- Liaison with outside vendors and venue
- Work with graphic designer to produce all solicitation materials
- Oversee production and distribution of save the date and invitation mailing including electronic mailing lists and e-blasts
- Secure and manage prospect lists from event leadership
- Manage production and distribution of all event solicitations
- Update and maintain donor information
- With graphic designer, coordinate production of event journals
- Liaison with designer and printer to ensure timely delivery of materials
- Help create seating lists and coordinate table placement as needed
- Maintain accurate accounting of event expenses and income
- Process invoices and manage all records pertaining to the event
- Oversee recruitment and management of event volunteers
- Help secure photographer, florist, caterers, as needed
- Coordinate production and delivery of materials for the event
- Coordinate production of post event acknowledgement letters and invoices
Looking for a well-organized self-starter who can multi-task, with a demonstrated commitment to social justice. Must possess excellent interpersonal, communication, time management, presentation and writing skills and a sense of humor. Work as part of a team. Must be proficient in Excel, Word and social media. Two years experience in special events fundraising is required.
