Convening Officer

CIVICUS is seeking to recruit a Convening Officer with special dedication to the World Assembly coordination, responsible to facilitate the effective implementation of the CIVICUS World Assembly and build and maintain relationships between CIVICUS and its networks to exchange information, generate knowledge and learning and to enable solidarity and partnerships.

Specific objectives for this position include:

World Assembly Coordination Role:

Be the World Assembly’s main focal point, ensuring a smooth, effective and efficient realisation of the event.
Coordinate the World Assembly team and supervise team membersManage the partnership relationship with the hosting organisation, monitor the budget and evaluate the partner’s performance.
Manage all logistical arrangements for the World Assembly event in cooperation with the hosting organisation (venue, accommodation, catering, exhibitions, media)Ensure reporting to donors takes place in a timely manner.Ensure the necessary administrative and logistical support for the World Assembly; network partner annual general meetings, project events and that workshops take place.Lead the programme design for the WA and manage the interaction with CIVICUS projects and units, ensuring a participatory process.Coordinate the interaction between CIVICUS programme Committee and the WA Programme Committee.Coordinate the communication around the event, working in conjunction with the Communication Unit in the development of a media strategy, including the production of promotional content for the website and printed publications.Convening Role:

Establish and maintain relationships between CIVICUS and its members, networks, partners and constituents and provide information and resources as required.Provide support to regional networks and other CIVICUS constituent networks and stakeholders in carrying out projects, peer learning activities and other events.Contribute to the development of tools and knowledge for civil society network building and management, including communities of practice.Plan, allocate and administer funding for network projects and events.Identify and support CIVICUS’ convening priorities in terms of regions, issues, needs and threats to civil society.Manage and maintain CIVICUS’ constituent databases.Contribute to effective cross-organisational working, communication and learning, keeping abreast of current and emerging communication technologies.The ideal candidate should have the following qualifications, knowledge, skills and work-related experience:

A degree in the social sciences, International Relations or Development studies;1-3 years’ work experience in a non-profit and or civil society organisation;Knowledge of civil society networks and regional and international organisations and/or institutions;Networking, negotiating, project management and event management skills;Strong verbal and written communication skills with different audiences at different levels;Analytical and research skills;Interpersonal skills and the ability to work as part of a team;Budget management skills;Proposal and report writing skills;Planning and time management skills;Be highly organised and able to work under pressure with tight deadlines;Computer literatcy;Strong leadership and coordination skills;Language skills: fluency in French (as the next 2 events will take place in French speaking countries)Location: Johannesburg, South Africa.

Start date: As soon as possible
Duration: Initially a 2 year contract will be offered.

Job grade: Paterson - C Upper

Salary offered for this position ranges between USD$28,000 – USD$45,500 per annum depending on the level of relevant skills, knowledge and experience which will be determined by the person specification deviation.
