Administrative Clerk (Community Grants)

The U.S. Consulate General in Cape Town is seeking an individual for the position of Administrative Clerk (Community Grants) in the Economic Section (ECON).

Minimum Requirements

Qualifications Required:

Items 1- 5 are ALL REQUIRED


1.
Education: Successful completion of Grade 12 (Matric) is required.
2. Experience: Two years work experience in administration or clerical positions is required.
3. Language: English level IV (fluent) writing/reading/speaking is required.
4. Knowledge:
- Knowledge of Non Government Organization (NGO) work community development and their challenges in South Africa is required.
5. Skills and Abilities:
- Excellent computer skills and knowledge of Microsoft Office applications, especially Outlook, Word and Excel is required. (This will be tested).
- Ability to work for multiple people, juggling schedules and prioritizing is required.
- Ability to provide unofficial translation for Coordinators during workshop presentations and meetings, and handling applicant inquiries and questions is
required.
- Ability to make presentations to groups is required.
- Good judgment in assessing and recommending projects is required
- Ability to develop and maintain a network of working level outside contacts; excellent drafting, organizational and time management skills is required.
- Excellent interpersonal skills are required.

Job Specification

Basic Function of Position:

The Community Grants Administrative Assistant assists the Community Grants Coordinator(s) and PEPFAR Provincial Liaison Officer (PPL) with all aspects of the Mission’s Community Grants programs, e.g the President’s Emergency Plan for AIDS Relief (PEPFAR) funded Ambassador’s HIV/AIDS Community Grants Program, Ambassador’s Special Self-Help (SSH) Program, State Department’s Democracy and Human Rights Fund (DHRF), Taft Refugee Fund, and PEPFAR activities throughout the Western, Eastern and Northern Cape, including managing documents and data, assisting grantees, supporting Coordinator(s) in selecting grantees and monitoring grantees, organizing meetings and events, and participating in advocacy and public relations efforts. The Community Grants administrative Assistant will further provide organization, diary management, travel coordination, reporting and communication with PEPFAR partners. The Community Grants Coordinator(s) supervise the Community Grants Administrative Assistant.
