Program Coordinator, YouthMap


PURPOSE
To provide operational and administrative support to the YouthMap program.

SUMMARY
The International Youth Foundation (IYF), a global nonprofit organization that works to improve the lives and conditions of young people worldwide, is seeking a Program Coordinator to support the expansion of youth assessments and subsequent life skills/ entrepreneurship training programs in Africa.   The ideal candidate will have Africa experience, preferably working on youth programs; French oral and written fluency; strong organizational, administrative support, and event planning skills; and the ability to thrive in a fast-paced environment. RESPONSIBILITIES
  • Develop and maintain familiarity with all aspects of assigned projects, including knowledge of donor and IYF procedures and policies and all technical work in-country.
  • Ensure the timely receipt, approval and processing of grants and contracts as well as the approval and processing of disbursements accordingly.
  • Provide administrative support for assigned programs, including coordinating and scheduling appointments and team travel (e.g., flights, lodging, visas, etc.)
  • Prepare correspondence, organizing project documents/files, contact lists, etc.
  • Provide logistical support for program workshops and events, which includes booking event facilities, preparing materials, and handling participant plane reservations.
  • Maintain paper and electronic filing systems for assigned programs.
  • Support program staff in drafting implementation plans, quarterly and annual reports, and contracts, memos and agreements.
  • Support implementation of program assessment, learning and M&E-related activities such as researching, gathering and summarizing topical materials, managing program-specific learning platforms, and coordinating with field and Baltimore staff and partners on the collection, uploading and management of relevant data.
  • Support the team in drafting written and web-based materials for the YouthMap program, including program documentation, implementation plans, reports, and concept papers/proposals for partnership efforts as assigned.
  • Support the implementation of communications plans of assigned programs, including editing documents and ensuring the timely input on communications-related deliverables.
  • Prepare correspondence and other communications for field staff, contractors, and partner organizations as directed.
  • Provide general support to program and perform other tasks as assigned by the Program Manager.
QUALIFICATIONS
  • Bachelor’s degree in a field relevant to IYF’s mission and programs (Social Sciences, Economics, International Relations) plus 1-3 years of work experience preferred.
  • Work or volunteer experience in Sub-Saharan Africa strongly preferred.  Knowledge of or experience with programs that support youth employment, education/training, and/or social services preferred.
  • Excellent written and verbal communication skills in English and French required, Portuguese language skills a plus.
  • Ability to identify and establish priorities, work independently, and exercise sound judgment related to providing support and assistance.
  • Ability to identify problems in a timely manner, recommend solutions, and work well in group problem solving situations.
  • Ability to work within a dynamic team environment, as well as an ability to carry out tasks independently. Ability to establish effective working relationships with employees at all levels of the organization.
  • Excellent time management and organizational skills are required. Thorough knowledge and experience in building office systems, filing systems, and general office procedures preferred.
  • Possess outstanding interpersonal communication skills which must be effective and courteous, requiring high integrity when dealing with a broad array of cultures and languages.
  • Proficient in the use of Microsoft Office including Word, Excel, Outlook and PowerPoint.
