Technical Assistant


BACKGROUND

With funding from the United States Agency for International Development (USAID), the International Youth Foundation (IYF) is working in partnership with the Jordanian Ministry of Social Development (MOSD) to design and implement a five year holistic youth development program to improve social services and protection for vulnerable populations, with an overarching focus on youth employability and civic engagement. The program will achieve this goal through the delivery of comprehensive community based activities to meet the needs of disadvantaged youth between 5 and 24 years of age that fall under four components: 1) Increased Youth Access to Market-Driven Life, Employability, and Entrepreneurial Skills Training; 2) Provision of Youth Friendly Services; 3) Expanded Civic Engagement of Youth; and 4) Policy Coordination.

JOB RESPONSIBILITIES 
  • Provide administrative support to the Technical Team to ensure that operations are maintained in an efficient and smooth manner. Specific duties include the following:
  • Type correspondence, reports and other documents as designated by the Senior Technical Program Manager.
  • Update the Program contacts.
  • Take minutes at meetings and distribute minutes.
  • Support the technical team in developing Scope of Works.
  • Coordinate  procurement of administrative/office needs between communities field staff and IYF/Jordan Administration Officer.
  • Support logistical planning of training workshops, community events and stakeholders meetings.
  • Coordinate travel itineraries, hotel reservations and other travel logistics for staff, visitors and consultants to and from YWJ communities.
  • Schedule, coordinate, and plan logistics for meetings, special events and workshops for staff, project related visitors, teachers and partners, as needed.
  • In coordination with the Administration Officer, manage stock of office supplies for communities’ field staff. 
  • Maintain contact databases and office calendars for communities’ staff, partners and stakeholders, coordinating with Administration Officer to make sure they are integrated into IYF/Jordan’s overall databases and calendars. 
  • Other duties as assigned.

SUPERVISOR
The Technical Assistant will report directly to the Human Resources & Administration Manager based in Amman – Jordan

Qualifications
  • 3-5 years of related job experience with a local or international NGO or related organization.
  • Oral and written English fluency is required. 
  • Ability to translate routine documents from Arabic to English.
  • Communication skills must be effective and courteous, requiring high integrity. 
  • Ability to work in a team and possess strong interpersonal skills.
  • Excellent time management and organizational skills; ability to prioritize, multi-task and follow through to completion. 
  • Must possess computer skills using MS Office Suite.
