Executive Assistant

Founded in 2004, Independent Diplomat is an innovative non-profit advisory group which provides advice and assistance on diplomacy to governments and political groups across the world. ID’s work covers the key pillars of contemporary diplomacy: political and diplomatic strategy, international legal advice and public/media relations.

Job Purpose

Support the Executive Director: Provide administrative support and assistance to the Executive Director in all aspects of his job.

Manage the New York Office & Global Systems: Ensure that the New York office and ID’s global systems run efficiently and without disruption.

Job Description

Support the Executive Director

· Provide general administrative assistance to the Executive Director, including calendar management, travel arrangements, briefings, expense and other internal reports;

· Act as liaison with between the ED and ID staff;

· Field press inquiries and coordinate interviews;

· Undertake special research, event planning, organizational and personal projects as required; and

· Provide support for other members of senior management where requested.

Manage the New York Office and Global Systems

· Manage the New York office, including guests, phones, IT systems, supplies and maintenance;

· Manage systems across global offices, including IT, communications and organization-wide policies;

· Manage vendors, building management and contractors;

· Manage events, including but not limited to staff retreat, board and Advisory Council meetings;

· Assist in the recruitment and management of interns; and

· Respond to queries from key stakeholders including staff, board, clients, government and UN officials, donors, media and vendors.


Qualifications


The ideal candidate will have a bachelor’s degree and experience in international affairs. The ability to work with a small team in a fast paced environment is essential, as is previous office experience and the ability multitask, prioritize, and be nimble and professional, particularly under pressure. Exceptional organizational skills, ability to anticipate and flexibility are a must. Experience working with high-level government and UN contacts is desirable. A sense of humour and discretion, as well as whole-hearted commitment to ID’s mission and previous office experience are essential.
