We are currently seeking to recruit a IH Office & Property Services Assistant.
| About the Role |
| The Office & Property Services Assistant will be based at our International Headquarters (IH) in Woking and will work as part of a team to ensure staff and visitors are provided with the facilities, support, equipment and information they need to enable the effective operation of our global organisation. Typical responsibilities will include: - - Act as focal point for staff enquiries and requests for services from the department, resulting in timely and effective resolution of requests to the satisfaction of staff
- Delivering on-site services and equipment and other resources to a high standard
- Planning and organising the physical moves of staff within the office, maintaining the IH office space plan
- Ensuring that stationary levels are checked and maintained and stationary areas are kept tidy and safe
- Managing the schedule of routine equipment and services maintenance and organising emergency repairs as necessary so that business requirements are met
- Account management of the corporate Mobile phone provider, reporting service shortfalls and requests and obtaining the best service for users
- Maintaining the offices service section of the organisation’s intranet site and other central office services on-line documents
- Assist IH Reception with allocating security access cards, maintaining and auditing the issue and return of cards as required
- Allocate car parking spaces to IH staff; including new starters, contractors.
- Manage car parking proximity cards with Woking Borough Council
- Organising fire warden and first aider training and maintaining a list of both and coordinating replacements with Office service manager
- Responsible for work station assessments of staff, including new recruits. This includes conducting follow-up assessments at specified times and maintaining the records of work station assessments.
- Maintaining the office health and safety incident and accident records
- Assisting with monitoring the landlords’ delivery against agreed services to IH Woking and the satellite office in New York
- Adhoc office services projects as required to support the Office/Property Services Manager
Please note that this is a physical active role and you will be required to do some lifting in regards to furniture set ups in meeting rooms and the movement of post or other equipment around the building. Knowledge of UK Health and Safety requirements, fire safety or first aid training is an advantage. Willingness to develop knowledge of these areas is essential.
