Organizational Setting

The Division of General Services is one of the six Divisions in the Department of Management. It provides service functions through the Director's Office and five Sections: Facilities Management, Seibersdorf Facilities Management, Archives and Records Management, Transport and General Support and Commissary.

The Commissary is a tax and duty-free store. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of Member States accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

Under the overall direction of the Director, Division of General Services and the direct management of the Head, Commissary Management Section, the Commissary consists of three Units: Procurement, Sales and Warehouse, and Invoice Control. The Sales and Warehouse Unit is divided into three major Groups: the Main Sales Group, the Cosmetics and Boutique Group and the Warehouse Group. The Main Sales Group is responsible for the display and sale of all goods in the Salesroom, the shelf replenishment and the operation of the Depository and the Bulk Sale Outlet. Between 7.00 and 19.15 the work in the Main Sales Group is carried out in two different shifts.

The Foreman primarily works in the Salesroom where he/she both check the shelf filling status and actively participates in the shelf replenishment process. Handling/opening boxes as well as restocking the Salesroom shelves involves physical effort and risks. Process bulk sale orders and provide product information to the customers. Work may be assigned by the Team Supervisor or the Head, Sales and Warehouse Unit. The customer-oriented environment demands a willingness to work shift and, sometimes at short notice, long hours.

Main Purpose

Under the day-to-day supervision of the Team Supervisors and the general supervision of the Unit Head, the Foreman helps and coordinates Salesroom staff to perform their task of replenishing shelves both before and during Commissary opening hours. He/she actively participates in the physical work of shelf replenishment in addition to giving advice to the Salesroom Workers and Cashiers as to where merchandise has to be placed. Working in close cooperation with the second Foreman, he/she is expected to perform his/her routine duties independently during his/her shift in the time span between 7.00 and 19.15. When sitting at the service point, process bulk sale orders and inform customers of the whereabouts of products.

Working Relationships

The Foreman interacts with Commissary customers at all levels on an ongoing basis on day-to-day issues concerning the shop environment (e.g. product locations, prices, special offers, etc.) and exchanges work-related information with other Commissary staff, especially with those from the Procurement and Invoice Control Units.

Functions / Key Results Expected

  • Check on an on-going basis and ensures that the shelves are being replenished and the merchandise arranged properly during the whole working day. This involves regularly checking the shelves for goods out of shelf and looking up the availability of said goods in the Warehouse. Correct and optimize Salesroom shelf quantities and issue Requisitions to the Warehouse. Register damaged goods and prepare the daily In-house loss report and send it to the Invoice Control Unit.
  • Together with the Salesroom Workers and Cashiers receive boxes/cases of merchandise from the Warehouse, open and unpack merchandise, check expiry dates; ensure proper display of the merchandise, maintain a tidy Salesroom, stocks and replenish shelves with new or transferred goods in accordance with the first-in-first-out principle and check intactness of packaging. For products not labelled with barcodes, print out and attach to the product the relevant Commissary article numbers. Use mobile computing devices to check availability of stock and order maximum quantities from the Warehouse to ensure adequate stocking levels on the shelves.
  • Propose to the Unit Head and the Team Supervisors optimisation of allocation of space to different product subclasses in order to maximise sales and customer satisfaction. Change entire blocks of product groups when necessary.
  • In cooperation with the Unit Head Salesroom and Warehouse and the Procurement Unit, function as the on-site contact person for activities/promotions of third party companies on the Sales floor.
  • If assigned, backstop for the Information Desk Clerk.
  • Assist in established book-stock adjustment procedures and take part in inventory taking.
  • Process bulk sale orders, provide product information as well as information on entitlements to the customers at the Service Point.

Knowledge, Skills and Abilities

  • Basic knowledge in MS Office 2010 which is the IAEA standard (Word, Excel, Outlook, PowerPoint).
  • Good health, physical fitness and strength to carry out strenuous work.
  • High degree of accuracy to identify and label merchandise.
  • Strong customer orientation and the ability to deal with customers and staff at all levels in a professional manner.

Education, Experience and Language Skills

  • Completed secondary education.
  • Experience in data entry applications and basic clerical/administrative experience.
  • Minimum of two years of work experience in the floor operation of a supermarket.
  • Experience in team leading.
  • Knowledge of English and German is required. Knowledge of another official IAEA language (i.e. Arabic, Chinese, French, Russian or Spanish) is desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €29 790 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
