Cardno ENTRIX has an immediate need for a Proposal Coordinator to work out of our Tampa, FL office.

This person will serve as a coordinator to our United States based Eastern Area proposal manager/business development support teams; providing leadership and ensuring delivery of high-quality proposals, presentations, and collateral marketing materials. Lead proposal support team efforts and coordinate technical resources in the planning, development and completion of assigned tasks, including development of plans for proposal preparation, proposal outlines, schedules, assignments, graphics, and themes. The individual will support and guide the proposal team and participate in writing/preparation of selected written portions to ensure that proposal content is complete, responsive, and of high quality and is delivered on schedule. This will include directly coordinating with Vice Presidents, Principals, Technical Directors and technical staff to assemble the appropriate resources for preparation and review of proposals to complete a high quality product under deadline. This position will also coordinate, assemble, prioritize, schedule and monitor administrative functions in support of the production of assigned proposals, including partnering with graphics personnel and Marketing staff.

Ideal candidate must have a record of producing a variety of proposals and SOQs that led to contract wins, demonstrated ability to manage the proposal process and proposal teams. Time management is key and also ability to work with diverse teams under deadline and always in a highly professional manner. 3 - 5 years of business development and proposal management experience in professional services, government or commercial contractor environment preferred in addition to degree in English, Communications, or Sciences. Experience in graphic design and/or layout preferred; strong skills in Microsoft applications required.

Key Responsibilities

​Responsibilities include, but are not limited to:
  • Integrate and work directly with Vice President, Principal and Technical Director level staff to carry out the Cardno ENTRIX message through proposal development
  • Engaging and being proactive in internal relationship building with key technical leaders initially within the Eastern Region
  • Assist the proposal manager with executing a formal proposal process
  • Develop win strategies and assist business development resources with capture planning efforts within the Eastern Region of the US
  • Oversee production staff and coordinate proposal writers
  • Oversee and enforce the overall proposal preparation timeline
  • Monitor compliance with Request for Proposals/Qualifications (RFP/RFQs)
  • Write, coordinate, and assemble proposal sections
  • Schedule and coordinate status meetings/teleconferences and draft/final reviews
  • Coordinate development of oral presentations

Other Requirements

Minimum Requirements:
  • Bachelor’s degree in Technical Communications, English, Journalism, or related technical field (environmental, sciences, business administration, marketing)
  • Minimum of 3 years professional experience in technical writing
  • Knowledge of government contracts and RFPs
  •  Excellent coordination and communication skills, strong technical writing skills, editorial and quality assurance expertise and experience leading a team
  • Proven supervisory experience
  • Must be responsive to proposal manager, regional managers, practice leaders, technical directors and vice presidents
  • Strong oral and written communications skills
  • Maintain close attention to detail and meet schedules under deadline
  • Possess a good understanding of document production process (review cycles and functions of document processing, editing, graphics design, and final assembly)
  • Possess good document management skills; ability to maintain proposal budget and schedule; ability to coordinate logistics and proposal team input
  • Assist with development of project descriptions, resumes and schedules
  • Schedule and conduct proposal progress status meetings
  • Have a strong attention to detail and accuracy
  • Ability to work with minimal supervision; self-motivated
  • Superior customer service skills
  • Ability to communicate clearly and concisely
  • Ability to work in a team environment
  • Flexibility and willingness to work extended hours and weekends, when necessary, including some holidays during proposal preparation efforts
  • Advanced skills with Adobe Acrobat and Microsoft applications - (Outlook, Word, Excel and PowerPoint) for proposal layout, graphics, and production
  • Possess solid interpersonal skills; must be able to interface effectively and productively with technical staff, graphics designers, document processors, and editor/writers
