Administrative ; Supply Assistant, GS6, FTA, Kyiv, Ukraine

MAJOR DUTIES AND RESPONSIBILITIES:
  • Reviews supply requisitions in VISION for clarity, adequacy of specifications, confirms availability of funds, and requests additional information as necessary. Enters POs in the systems. Drafts routine documentations for information or actions for internal parties, Supply Division, suppliers, customs and counterparts.
  • Undertake market research, complies lists of local sources of procurement, contacts local vendors for price quotations, prepares summary of bids including information on price and conditions of offer. For more costly procurements required under the procurement procedures, drafts bid invitations and/or requests for price quotations; drafts related correspondence.
  • Maintains up-to-date all hard copy and electronic supply files. Undertakes research, complies reports and provides information as requested. Maintains the supplier database.
  • Coordinates meetings of local CRC committee by preparing and distributing files containing the cases to be presented and preparing drafts minutes of the meetings.
  • Monitors TADs and confirms receipts of supplies verifying quantities against delivery receipt, POs and specifications. Notifies supervisor in case of discrepancy.
  • Provides interpretation of administrative rules, regulations and procedures. Advises and assists other staff in the area of office management. Arranges for and /or attends meetings on day-to-day administrative matters; participates in discussions of new or revised procedures and practices; interprets and assesses the impact of changes; and makes recommendations for follow-up actions.
  • In additional to general administration responsibilities, may also supervise directly or indirectly, activities concerned with office and grounds maintenance, security, transport and similar services.
  • Prepares, on own initiative, correspondence, reports, evaluations and justification, as required, on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility.
  • Provides logistics support for events organized by UNICEF.
  • Perform other duties, as required.
  • QUALIFICATIONS AND COMPETENCIES REQUIRED:
  • EDUCATION
  • Completion of secondary education. Training in administrative field is desired.
  • WORK EXPERIENCE
  • Solid work experience at the professional level of at least seven years administration and procurement.

  • Fluency in English and Ukrainian is required.
