Production Coordinator - Print, Baltimore

Summary
Manage projects from internal clients. Work closely with Production staff (director, production manager, production coordinator and traffic coordinator) and MarCom project managers to monitor project workflow. Coordinate with staff, clients and vendors to meet deadlines and to resolve project issues.
Responsibilities
Serve as liaison between project managers, creative staff, purchasing and vendors (print, suppliers, fulfillment houses and other outside sources) for all collateral production.
Partner with Production manager to initiate and coordinate project requests; write specifications that clearly define components to facilitate cost-effective vendor bids.
Interface daily with other departments; participate in project meetings and client discussions.
Ensure Image Center (in-house digital printing) jobs are ordered, executed and delivered properly.
Work closely with the Production traffic coordinator, using the MarCom Project Portal (MPP) project management software, to track production schedules and workloads, and to ensure timely receipt of materials, such as postage requests, proofs and vendor bluelines, samples and surplus materials.
Submit job specifications to Purchasing, following Internal Audit policies; monitor and revise as required, including answering questions on bids from vendors. Review vendor bids for accuracy; request additional information if needed; prepare detailed bid analysis for clients; write requisitions for jobs to be awarded and obtains authorizing signatures from client; submit requisitions to Purchasing with timelines for final delivery from vendor; review invoices, forward to client for approval and then on to Finance for payment.
Review in-house draft proofs and vendor proofs/bluelines/lasers for accuracy and adherence to specifications. Route to clients and editorial, publication and/or outside proofers review as well.
Coordinate receipt of data files from client in a timely fashion and route to vendor to ensure jobs are mailed on time. Monitor vendor questions and provide timely answers regarding data issues.
Schedule and attend press checks as required.
Receive and review final project collateral from vendors to verify it meets print and delivery specifications. Ensure delivered materials are accepted, accounted and signed for, by the client.
Keep project files (physical or digital) orderly and up-to-date with complete history of project (clear and consistent documentation of all decisions) for a thorough audit trail. Keep copies of final vendor bluelines and maintain all appropriate project files with samples of the completed job.
Screen potential vendors and tour facilities to stay current with available printing and fulfillment technology.
Provide administrative support to Production manager and director as needed.
Perform other related tasks as required.

Fluency in oral and written Spanish and/or French, a plus.
Qualifications
BA in Graphic Design or related degree, or minimum of five years’ work experience in print production.
Experience in project management and knowledge of budgetary adherence.
Experience with the project management platform Workamajig® Platinum a plus.
Detailed knowledge of offset, web and digital printing, industry norms and terms (e.g. standard overages, waste and spoilage, work and turn, etc.).
Familiar with concepts, practices and procedures specific to project management (design, digital, print, etc.).
Working understanding of creative process from inception to completion: design workflow, production and pre-press processes, printing, bindery and finishing capabilities, mail and fulfillment requirements.
Current knowledge of various stocks (e.g. brightness, weights, coating, etc.) and the ability to understand visual outcomes based on color/ink configurations.
Strong typing and computer skills, Mac OS and Windows proficient, experience with project management software, and excellent knowledge of Microsoft Office 365 programs.
Physical Requirements/Environment
Normal conditions akin to an office environment.
Accurate color vision and the ability to use current desktop publishing software.
Lifting 25 lbs. or less capability.
Ability to travel, for short periods of time, by car, train or air.
