Organizational Setting

The IAEA Library Unit is located in the Nuclear Information Section (NIS), Department of Nuclear Energy, and is responsible for implementing the IAEA's sub-programmes on the Library and Information Support.

The IAEA Library provides library and information management services in all areas of IAEA activities. Its core functions are:
  • management of internal and external Library information resources
  • provision of Library information services
  • promotion of information exchange, cooperation and resource sharing between nuclear information centres and libraries worldwide.
The Library Clerk provides support in implementing the Library’s programme of work and responsible for receiving, processing, and distributing of the library materials and maintaining of the serial records in the serial database. The supervisor establishes assignments and priorities and provides instructions for new or difficult tasks. Daily tasks are carried out according to established procedures with minimum supervision.

Main Purpose

The Library Clerk contributes to the efficient operation of the Library services and proper use of its information resources. He/she is responsible for receiving the library materials, identification and dispatch of materials for processing to appropriate staff members based on the guidelines, registration of received serial publications in the serials database; processing of serial issues for Library display, routing, collection or discard; claim of missing issues; maintainance of records in the serials database.

Working Relationships

The Library Clerk works with the Library staff involved with receipt and distribution of information related to the assignments. Occasional contacts are made with library users regarding receipt of materials, while frequent contacts are made with vendors regarding delayed items, subscription information and other related issues.

Functions / Key Results Expected

  • Process serial publications: receive serials publications, verify and register them in the serials database; process the issues for distribution and for the Library reading room display; route serial issues to users and prepare them for inclusion or discard from the collections; claim missing issues from suppliers; perform follow-up actions to ensure delivery of materials requested.
  • Update and maintain serials database: create the publication patterns for new and existing serial titles; monitor changes of serial title changes (bibliographic mutations), changes to frequency of publication that require additional or new records or modifications of existing records and update the information in the serials database.
  • Receive and examine unsolicited gift information materials from selected organizations and publishers in accordance with the established rules for further processing and discard all inappropriate ones.
  • Maintain records and prepare statistics related to serial publications and services. Keep and compiles the statistics for annual statistical report of contributions in-kind received in the Library from IAEA Member States in accordance with the established procedure.
  • Receive mail, identify appropriate mail recipients, sort and dispatch all incoming and outgoing Library correspondence and information materials including parcels of monographs, serials, documents, newspapers and non-print materials, invoices, vendor messages and others.

Knowledge, Skills and Abilities

  • Good knowledge of library operations and different types of publications
  • Thorough understanding of various library responsibilities and collections in order to effectively distribute materials for subsequent action and processing
  • Good knowledge of integrated library systems and functions related to the maintenance of serial records
  • Ability to organize own work and prioritize assignments under the guidance of the supervisor
  • Accuracy of data entry and ability to pay attention to details
  • Ability to work as a team player in a multicultural environment, to respect diversity and to interact with the Library clients in a customer oriented manner
  • Ability to resolve problems that may arise and propose solutions and improvements to the serial processing activities

Education, Experience and Language Skills

  • Completed secondary education.
  • At least four years of experience in library and information services area, or other related fields.
  • English language test (level 1) and typing test (level 1) to IAEA standard.
  • Practical experience in the use of Microsoft Office (Outlook, Word, Excel) and ability to use databases.
  • Good command of both oral and written English essential. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian, Spanish) an advantage. Good knowledge of German would be an advantage in dealing with the publishers.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €34 469 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
