We are looking for an Assistant, Programme Office Management Unit (50%) to support all Programme Office Management staff based in Gland effectively in all administrative and operational functions on a day-to-day basis.

Location:

Main responsibilities:
- Assists other POM staff in their functions of operations support, programme management and communications;
- Organises travel/accommodation for POM Unit staff, including negotiating fares, costs, air-mile/CO² calculations, visa applications and itineraries;
- Based on the above, ensures travel forms are properly filled in and submitted prior to the trip;
- Keep tracks of leave of all POM staff as well as PO Reps and ensures leave forms are submitted and signed properly;
- Prepares and ensures follow-up of POM unit meeting and other internal meetings as required, and arranges travel and meeting schedules for POM's visitors;
- Maintains filing in hard copies and on POM intranet site as necessary, archiving systems, contact database, and telephone and address lists for POs;
- Supports POM with other administrative tasks, for example keeping track of PO dashboard documents
- Working closely with the Officer Programme Office Management Support and covering as necessary in each others’ absence.
What you need:
Required Skills and Competencies- Strong organisational and prioritisation skills and attention to detail;
- Proactive attitude and ability to take initiative and work independently;
- Excellent team player with good networking and interpersonal skills;
- Good awareness and sensitivity of different cultures and ability to communicate effectively cross-culturally;
- Strong oral and written communication skills in both English and French;
- Excellent knowledge of office computer applications including - Word, Excel, PowerPoint, and familiarity with intranet, internet, website and database applications
- Passion and commitment for conservation and sustainable development
